Position Summary
Under medical supervision, the Medical Assistant assists physicians and clinical staff in the delivery of healthcare services and performs related duties as required.
This role provides excellent patient care by greeting patients in person or on the telephone, answering or referring inquiries, and assisting providers with clinical and administrative duties.
The Medical Assistant is responsible for providing high-quality patient care while ensuring tasks are completed accurately, efficiently, and in a timely manner.
This position may require drawing blood and preparing specimens for laboratory analysis.
All clinical tasks must be performed under physician supervision and in accordance with Florida scope-of-practice regulations for Medical Assistants.
Essential Position Duties: Operations and Clinical Duties
• Greet and welcome each patient with courtesy and professionalism.
• Assist with the patient check-in process as needed.
• Review daily schedules with providers prior to the start of clinic operations.
• Prepare patient charts for upcoming appointments.
• Assist with appointment confirmations prior to scheduled visits.
• Record patient chief complaints and document information in the electronic medical record (EMR).
• Conduct and record patient vital signs including weight, height, blood pressure, pulse, and oxygen levels.
• Notify providers of abnormal patient findings.
• Assist healthcare providers with clinical procedures including injections, EKGs, pelvic exams, pap smears, suture removals, and other procedures requiring assistance under physician supervision.
• Identify patient needs for psychosocial consultations and communicate findings to the provider.
• Obtain updated medication lists from patients and update information in the EMR.
• Prepare provider orders and appropriate requisition forms as needed.
• Contact pharmacies regarding prescription refills or prior authorizations.
• Notify patients in a timely manner regarding provider instructions or changes.
• Ensure physicians sign charts, laboratory orders, prescriptions, and diagnostic documentation daily.
• Communicate patient status to providers according to urgency.
• Comply with office policies, OSHA standards, and HIPAA privacy regulations.
• Assist with laboratory specimen collection and preparation for pickup.
• Triage patient calls during operating hours and assist with calls from the on-call center when needed.
• Assist clinical departments with rooming patients as necessary.
• Perform additional duties as assigned to support clinic operations.
Billing and Administrative Duties
• Verify patient insurance eligibility prior to services.
• Ensure proper billing codes are used for services provided.
• Confirm provider notes are completed and signed prior to billing submission.
• Track daily patient charges and coverage information.
• Assist providers with entering charges and documentation into the NextGen system.
• Review discrepancies in billing or notes with the corresponding provider to determine if corrections are needed.
• Monitor incoming faxes and documentation from outside healthcare facilities.
• Provide billing updates to providers when requested.
• Assist departments with special projects as assigned.
Compliance Responsibilities
Comply with all applicable legal and regulatory requirements including:

• High School Diploma or equivalent required
• Medical Assistant Certification preferred
• Knowledge of medical terminology
• Basic arithmetic skills
• Demonstrated venipuncture competency
• Safe clinical work practices
• Experience working in a healthcare or medical office environment preferred
• Experience with electronic medical record systems
• Knowledge of healthcare payers including Medicare, Medicaid, and commercial insurance
• Experience with patient registration and insurance verification
• Proficiency in Microsoft Office including Word, Excel, and Outlook
• Strong verbal and written communication skills
• Ability to multitask and manage competing priorities
• Ability to work collaboratively across departments
• Strong attention to detail and commitment to confidentiality

- Stamina & Mobility: Frequent walking, standing, and maneuvering in small areas, with some roles requiring thousands of steps per day.
- Strength & Lifting: Ability to lift, push, pull, or carry items, often up to 25–50 lbs, including supporting patients.
- Dexterity & Coordination: High level of hand-eye coordination for drawing blood, giving injections, and handling medical instruments.
- Sensory Capabilities: Good vision (close, color, depth) for reading charts and assessing patients, as well as clear hearing and speaking abilities.
- Flexibility: Regular need to bend, kneel, or sit during tasks.

- Working Conditions: Bloodborne pathogens and sharp items.
- Ergonomics: Potential for back strain; proper shoes and ergonomic, adjustable workstations are often necessary.
