Position Summary"
Lotus Behavioral Health is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Chief Executive Officer and contribute to the success of key organizational functions, including Quality Assurance, Marketing & Business Development, and Admissions. This dynamic role is ideal for a candidate who is adaptable, eager to learn, and committed to making a meaningful impact within a mission-driven behavioral health organization serving adolescents and families.
Executive Support
- Provide high-level administrative support to the CEO and other Executive level staff, including scheduling meetings, managing calendars, and preparing correspondence.
- Maintain confidentiality, prioritize tasks effectively, and act as a liaison between the CEO and internal/external stakeholders.
- Prepare and organize documents, presentations, reports, and follow-up tasks in support of executive initiatives.
- Willingly engage in training and development to gain a working knowledge of regulatory compliance and accreditation standards.
- Support the QA team by maintaining performance tracking systems and documenting clinical and operational metrics.
- Assist in the preparation of quality reports, audit findings, and the development of action plans to address areas of improvement.
- Participate in weekly quality assurance meetings and ensure timely follow-through on assigned tasks.
- Track key performance indicators (KPIs) for the outreach and business development team, compiling and presenting monthly reports.
- Maintain a working knowledge of Lotus Behavioral Health’s services and stay informed about competing programs, referral trends, and emerging market opportunities.
- Assist with organizing community engagement events, referral partner communications, and digital marketing coordination as needed.
- Cross-train in all aspects of the admissions process, including initial inquiries, pre-screening procedures, insurance verification, and documentation.
- Assist in tracking admissions metrics, staff responsiveness, and conversion data to support program growth and improved client experience.
- Serve as a backup to admissions staff when needed and provide seamless handoff of administrative support during high-volume periods.
- Bachelor's degree minimum; equivalent experience considered when selecting candidate.
- 2+ years of administrative or executive assistant experience, preferably in a healthcare or behavioral health setting.
- Strong organizational, written, and verbal communication skills.
- Ability to work independently while managing multiple priorities in a fast-paced environment.
- Proficient in Microsoft Office Suite, Google Workspace, and CRM platforms (experience with Dazos, Salesforce, Kipu, or similar tools is a plus).
