Wonder Windows is hiring for an Office Manager and Installation Coordinator for their Buffalo, NY office. 

The responsibilities will encompass scheduling installation crews, interfacing with installation crews, interfacing with customers, assisting with inventory management, lead time tracking, customer payment processing, and customer support while ensuring the highest level of customer satisfaction.  The Office Manager and Installation Coordinator’s responsibilities include helping ensure that all project/department milestones/goals are met.

Responsibilities (but not limited to):
  • Represent and instilling the company’s core values.
  • Assist in operational goals and objectives.
  • Manage day-to-day office operations, including organizing files, supplies, and office maintenance. 
  • Oversee administrative tasks such as answering phones, responding to emails, and handling correspondence.
  • Development of installation crew packs.
  • Maintain office policies and procedures to ensure smooth functioning of daily operations. 
  • Coordinate meetings, appointments, and travel arrangements for staff as needed. 
  • Assist in collecting final payment or negotiating final payment.
  • Serve as the primary point of contact for clients regarding installation projects. 
  • Coordinate scheduling of installations in conjunction with the Installation Manager, ensuring timely and efficient completion of projects. 
  • Communicate with clients to gather project requirements and provide updates on project status. 
  • Working in conjunction with the Service Department with services and install services.
  • Liaise with installation teams to ensure they have necessary resources and information to complete projects successfully. 
  • Resolve any issues or conflicts that arise during installation projects, escalating as needed. 
  • Provide exceptional customer service to clients, addressing inquiries and concerns in a professional and timely manner. 
  • Act as a liaison between clients and installation teams to ensure client needs are met and expectations are exceeded. 
  • Maintain accurate records of installation projects, including contracts, invoices, and project specifications. 
  • Responsible for successful onboarding of new hires and crews 
  • Responsible to ensure that all permits and compliance requirements are met
  • Generate reports on installation activities, including project status, timelines, and resource allocation. 
  • Analyze data to identify areas for improvement and implement process enhancements to streamline installation procedures. 
  • Assist in corporate strategic planning and support operational goals and objectives.

  • Ability to work independently and is part of a team in a fast-paced environment.
  • Knowledge of installation processes or related industry experience is a plus.

Pay Rate: $60,000-$65,000/year
