SKILL AND EXPERIENCE REQUIREMENTS:
- Minimum of 5 years registration experience with a major museum, with a focus on collections management, and a thorough knowledge of acquisitions procedures and related laws and requirements.
- Strong knowledge of 20th-Century and Contemporary Art, and a familiarity with artists’ materials required. Variable media experience, including time-based media, strongly preferred.
- Strong computer skills, including specific expertise in TMS or similar collections management system.
- Excellent organizational and time management skills.
- Excellent verbal and written communications skills, with strong attention to detail.
- Flexibility and the ability to adapt to changing priorities.
- Excellent attention to detail with ability to handle multiple projects in a fast-paced environment a must.
- Ability to be proactive, use independent judgment and initiative.
- Foreign language skills desirable.
KEY RESPONSIBILITIES:
Duties may include, but are not limited to, the following:
- Experienced collections registrar with excellent organizational and interpersonal skills to manage all phases of collection management for this major collection of Modern and Contemporary art.
- Work closely with Curatorial and Legal departments, the Associate Registrar, Collections, facilitates the acquisition and documentation of collection works, and organizes the presentation of potential acquisitions to the museum’s acquisition committees.
- Working with the Director of Registration, Collections, to manage collection storage issues.
- Train in standard museum procedures and prioritize collection-related projects and reports.
- Leading role in the museum’s various collection task forces, including the Collections Care Group and TMS user group.
Accessions
- Arrange shipping for and facilitate presentation of potential new acquisitions at the museum’s three main purchasing committee meetings, each of which occur twice annually.
- Negotiate shipping and insurance costs with galleries for pending purchases.
- Prepare lists of gifts and purchases to be presented at purchasing committee meetings and acquisition committee meeting, along with budgets outlining the costs associated with shipping, storage and long-term maintenance.
- Reconcile and approve related invoices, code for payment, and submit for final approval.
- Secure installation instructions and installation copies for variable media acquisitions.
- Assign accession numbers and mark/label objects accordingly.
- Condition check all incoming works and schedule meetings with art handlers, conservators and curators to organize the cataloging of new acquisitions, and determine housing and storage needs.
- Maintain files for Deeds of Gift, Purchase Agreements, Non-Exclusive License Agreements and related tax forms, and ensure that all are signed and processed in a timely manner.
- Document all recent acquisitions in TMS (The Museum System), the museum’s collection and exhibition database, and create digital object files.
- Tracks the intake of all acquisitions and regularly updates relevant staff.
Records Management and Research
- Work closely with Curatorial, TMS, and Legal staff to organize, maintain and update collection-related files including: object files and electronic records, donor files, gift and commission contract records.
- Prepare reports for and monitor promised gifts, extended loans, collection statistics and related topics; do research for special collection projects.
Media Initiatives
- Participate in committee meetings to review and develop museum-wide standards for the management of digital assets and their integration into the museum’s collection management system.
- Develop and manage procedures relating to the acquisition of multi-media and non-traditional media works, including duplication, storage, maintenance, and loans policies.
General
- Assist with the management of offsite storage accounts, and the development of mid-term and long-term solutions for the museum’s growing storage needs.
- Document installation of collection works in New York and on tour, as required.
- Travel as courier with museum outgoing loans on occasion.
- Draft in-house reports.
- Assist with funding proposals.
WORK DEMANDS and ENVIRONMENT:
- Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
- Occasionally work may be conducted outdoors, exposure to varied weather conditions.
- Willingness to travel domestically or internationally
- Ability to work nights, weekends, holidays on occasion.
- Ability to lift at least 25 lbs.
EDUCATION:
- Bachelor’s Degree required.
- Master’s Degree preferred.
