SUMMARY OF POSITION:
The Solomon R. Guggenheim Foundation is seeking an On-Call Special Events. As a member of the Advancement Department, the On-Call Special Events will assist in producing on-site museum events, including rental events, licensed film and photography shoots, and museum fundraisers. The On-Call Special Events will work under the supervision of the Special Events Department.
SKILL AND EXPERIENCE REQUIREMENTS:
- Special events and/or event production experience required, with a focus on the arts preferred.
- Ability to work onsite and maintain flexible hours, including evenings and overnights.
- Ability to maintain the highest level of confidentiality.
- Excellent organizational and time management skills.
- Exceptional written, verbal, and interpersonal communication skills.
- Flexibility and the ability to adapt to changing priorities.
- Excellent attention to detail with the ability to handle multiple projects in a fast-paced environment is a must.
- Ability to be proactive, use independent judgment, and take initiative.
KEY RESPONSIBILITIES:
Duties may include, but are not limited to, the following:
- Liaise onsite with museum staff including Special Events, Security, Art Handlers, Facilities, and Lighting departments, as well as third party vendors, during rental events, rehearsals, sound checks, site visits, and licensed television, film, and photography shoots.
- In collaboration with Assistant Director, Senior Manager, and Manager of Special Events, enforce museum guidelines onsite to ensure vendor compliance. External vendors may include but are not limited to film crews, photographers, audio-visual vendors, production companies, florists, and caterers.
- Assist in the onsite management of third party event vendors, escorting crews in the building, overseeing freight elevator usage, and escorting equipment setups in pre-approved gallery locations.
- Assist in the onsite management of talent, speakers, and honorees, including coordinating check-in, greenrooms, soundchecks, rehearsals, way-finding, and troubleshooting.
- Assist with guest management, including registration, RSVPs, and seating.
- In collaboration with Special Events and Security, collect and submit all third-party crew names, organize credentialing, manage inventory, and provide wayfinding assistance at the museum’s staff/service entrance.
- Oversee overnight exterior load ins and load outs, to maintain emergency egress, supervise disposal of event materials, and minimize event-related noise levels on residential streets.
- Track line-by-line production schedules onsite to prevent delays in upcoming tasks and keep the production on schedule.
- Perform general administrative duties including archiving physical event materials, printing production schedules and floorplans, and organizing event supplies.
WORK DEMANDS and ENVIRONMENT:
- Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
- Ability to work onsite and maintain flexible hours, including evenings, overnights, and weekend hours.
- Ability to lift at least 20 lbs.

SALARY RANGE: $35.00 - $44.00 per hour
