The Family Office Assistant supports the Family Office Manager, Family Advisory Council (FAC), and Surerus Board of Directors (BoD). This role ensures seamless operations by managing high-level administrative tasks, coordinating complex logistics, maintaining confidential communications across governing bodies, and ensuring overall organization within the Family Office.

This position is based at our Fort St John office with a 5-day work week, 8-hour days.
REPORTING RELATIONSHIPS
The Family Office Assistant reports directly to the Family Office Manager.
COMPENSATION PACKAGE
The expected salary range for this position is $65,000 - $75,000 annually. We will consider factors including previous experience, education, skills, and internal equity when determining placement within this range. In addition, we provide a discretionary annual bonus, comprehensive benefits package including extended health, dental, life and disability insurance, RRSP matching, and paid time off.

KEY RESPONSIBILITIES
- Provide a high-level of confidential support for the FO Manager and Board Chair
- Coordinate all aspects of FAC and Board meetings, including venue booking, catering, and materials.
- Organize seminars, workshops, and special events for the FAC and Board members.
- Manage complex calendars and travel itineraries (flights, hotels, transport) for the FO Manager, Board Chair, and Council members
- Liaise with Executive Assistants to align schedules of SMJV and Surerus Executives
- Organize FAC members travel itineraries for meeting attendance, including hotels, flights, and rental cars
- Prepare, edit, and distribute high-quality agendas, presentations, audit findings, action logs, and confidential correspondence
- Attend meetings to record minutes and track action items
- Conduct research and data analysis to produce reports
- Establish and maintain secure physical and digital filing systems, ensuring strict confidentiality
- Foster collaborative professional relationships between ownership, management, staff, and the various committees
- Assist with special projects and general administrative tasks as required

POSITION REQUIREMENTS
Qualifications
- Post-Secondary Certificate or Diploma in Business Administration or relevant experience
- Minimum 3 - 5 years’ experience providing executive level support
- Must be able to communicate effectively with Executive leaders
- Ability to maintain confidential information
- Proficiency with MS Office (strong in Excel and Word), payroll software, and other systems
- Strong interpersonal and communication skills
- Detail oriented, analytical, organized and strong work ethic
- Self-motivated, results driven, able to work well under time constraints and meet deadlines
- Excellent verbal and written communication skills are essential as well as a strong desire to learn and the ability to work well within a team
- Ability to develop and facilitate trustworthy partnerships.
- Self-starter, with strong problem-solving skills and adaptability.
- High level of professionalism and integrity
- Prior working knowledge of management systems and their maintenance would be an asset
