- Perform all duties related to adding, deleting, or changing the County’s fixed asset inventory by establishing and maintaining comprehensive property records for all capital tangible fixed asset expenditures (including land, right of way, building improvements, utility systems, equipment, furniture, and infrastructure) and updating fixed asset records throughout the asset lifecycle.
- Calculate costs of asset expenses by reviewing debit, credit and totals in computer spreadsheets/databases.
- Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
- Operate accounting software and related tools to record, store, analyze, and report financial information; perform 10-key calculations and related clerical tasks as needed.
- Maintain vehicle ownership documentation including titles and MSO, ensuring accurate title transfers, registration and compliance. Handle paperwork for new/used vehicle and equipment acquisitions, process license plate/tag and coordinate with the DMV.
- Perform annual physical inventory of fixed assets across Polk County, including travel to various sites. This position requires frequent standing, walking, climbing, balancing, and lifting to 25 pounds, and may involve crawling under desks and climbing into attics to scan assets.
- Record and maintain accurate inventory records, investigate missing assets and make necessary updates as required.
- Manage disposition of surplus assets and coordinate the disposal as appropriate, including working with online auctions.
- Respond to inquiries and resolve discrepancies involving simple to moderately complex transactions in a timely manner, applying general knowledge of work-area policies and procedures.
- Act as liaison with other departments, divisions, or organizations; communicate fixed asset policies and procedures to stakeholders across board departments, representatives from other offices, agencies, and management.
- Support fixed asset-related activity with management and Senior Accountant to prepare monthly and annual fixed asset activity reconciliations.
- Recommend process improvements, participate in the writing and updating of standard operating procedures, attend meetings as required by the Accounting Manager or Supervisor.
- Perform other duties as assigned.
