Position Summary
The Facilities and Property Manager is a key leadership position responsible for directing all aspects of property and facilities operations. This role oversees planning, budgeting, and cross-functional coordination to ensure that residential properties (“Lodges”), office spaces, leased commercial areas, vehicles, and equipment align with the organization’s mission and operational priorities, as well as the needs of those we serve.
The position emphasizes proactive maintenance, adherence to safety standards and compliance requirements, and prompt resolution of issues across all locations. Success in this role requires a combination of technical knowledge, strong leadership, and practical expertise in managing equipment, rental properties, and commercial facilities.
This position qualifies for a hybrid work schedule, consistent with Tasks’ policy guidelines.

Essential Job Functions
Property, Facility, and Equipment Oversight and Compliance (35%)
- Lead, track, and report on all property and facility related projects
- Conduct thorough and regular facility and property inspections to proactively identify maintenance requirements and potential safety hazards.
- Rigorously ensure compliance with all applicable safety, health, and environmental regulations across all facility and property locations
- Assure compliance with local zoning regulations and rental property requirements, including tracking and coordinating all required paperwork, inspections, maintenance, and updates
- Act as primary contact and source for all property and facility related communications
- Monitor equipment needs, oversee procurement and replacement, and track utilization, including vehicles, furniture and major equipment (across programs and departments), coordinate with CFO and Accounting Team on plans for replacement, acquisition, and costing
- Maintain on-call availability 24 hours a day for emergencies, delegate and monitor for timely response to urgent needs
- Ensure insurance policies and coverages are maintained and remain adequate for all property (including vehicles) and facilities
Maintenance Planning and Implementation (15%)
- Design and execute detailed maintenance and replacement plan with schedules that ensure all facilities, vehicles, and equipment operate at peak efficiency and reliability
- Develop and modify preventive maintenance programs that minimize downtime and maximize the longevity of our facility and property assets
Vendor and Contractor Coordination (15%)
- Coordinate and contract with external contractors and vendors to secure specialized monitoring, maintenance, and repair services that meet our standards
- Pursue partnerships and coordinate with other non-profit organizations to support and complete property related projects in an efficient and cost-effective manner
- Collaborate closely with department teams and IT staff to ensure the optimal functioning of all facilities and equipment
- Provide direction and supervision to property management and facilities staff
- In partnership with Fairweather teams, Vocational teams, and Tasks Unlimited Building Services, create opportunities for training, project support, temporary placement, and contracted service delivery at facility and Lodge locations
- Provide quarterly reports to the Tasks Unlimited Lodges Board of Directors
- Monitor and analyze utility consumption and work to reduce energy use and lower operational costs wherever possible
- Coordinate with accounting team to ensure invoices are processed and any passthrough expenses are being correctly processed and paid
- In partnership with CEO and CFO, develop and manage the facilities management budget, strategically forecasting expenses and pinpointing opportunities for cost reduction
- Prioritize projects and identify when to engage internal resources and outside contractors, ensuring resource availability and operational efficiency
- Identify and coordinate with Advancement Team to secure funding, in-kind support, and incentives for acquisition and maintenance of facilities, property and vehicles; facilitate all reporting and monitoring functions required for continued eligible for these funds and programs
- Engage proactively with various department heads to address and support their specific facility, property, and equipment related requirements
- Maintain a commitment to professional growth and industry relevance by staying informed of emerging trends and representing the organization at community stakeholder and trade meetings and events.

Qualifications
Education and Experience
Required
- Bachelor’s degree in Facilities Management, Project Management, Business Administration, or related field; -OR-equivalent experience of 5-7 years in facilities or property management
- Minimum of 3 years management or crew leadership experience
- Experienced in project planning and oversight
- Demonstrated leadership ability with skills in motivating a diverse team
- Familiarity with local, state, and federal regulations related to facility safety and environmental standards
- Experience in developing maintenance procedures and implementing cost-saving measures
- Valid driver’s license and insured vehicle
Preferred
- Strong knowledge of building systems, vehicle maintenance, or construction trades including HVAC, electrical, plumbing, and mechanical systems
- High competence in the use of technology and project management tools
