Starting Pay: $19.50/hour

Schedule: Monday-Friday, 6:00 a.m.-3:00 p.m.

Position Summary:


The Dispatcher/Administrative Assistant provides critical support to the transportation department by coordinating dispatch operations, performing administrative and data entry duties, and assisting with communication between drivers, aides, and district offices. This role ensures daily operations run smoothly and efficiently while maintaining a professional and organized office environment.

  1. Dispatching
    1. Dispatch, ensure all routes are covered and drivers are properly assigned.
    2. Route as needed to support operations.
    3. Assign drivers to routes and handle adjustments as required.
    4. Serve as a primary point of contact for drivers, aides, parents/guardians, district staff, and supervisors during dispatch hours.
    5. Monitor radio and phone communications to assist with route issues and provide timely updates.
    6. Respond to breakdowns, accidents, and route changes due to traffic or weather.
    7. Maintain accurate records of student attendance on vehicles and routes details.
  2.  Administrative & Office Support 
    1. Answer incoming calls promptly and professionally, directing inquiries as needed.
    2. Greet and assist visitors in a courteous and professional manner.
    3. Assist at the dispatch window during peak employee arrival and departure times.
    4. Collect driver/aide signatures for required documents for payroll and human resources.
    5. Schedule medical appointments and coordinate related administrative details.
    6. Maintain organized and up-to-date documentation for daily operations.
    7. Receive and document complaints or concerns from parents and school officials and forward to supervisor for resolution.
    8. Order supplies, manage inventory, and ensure the office remains well organized.
  3. Secondary Job Functions
    1. Input and verify schedule times daily, ensuring accuracy in Paycom (HRIS) entries.
    2. Notify districts/parents promptly of any time or schedule changes.
    3. Create and distribute tags for early childhood routes as needed.
    4. Prepare and submit reports in accordance with established procedures and deadlines.
    5. Support curbside duties during student arrivals and dismissals as needed.
    6. Learn routing processes and systems to provide coverage during staff absences.
    7. Serve as a driver or aide during emergencies, as assigned.
    8. Perform additional responsibilities or special projects as assigned by the Student Transportation Operations Manager (STOM) or Assistant STOM.

Work Environment:
 While performing the duties of this job, the employee works in both office and field settings. The office environment is typically quiet to moderately busy, with frequent interruptions and interactions with staff and the public. Field work may involve exposure to outdoor weather conditions, vehicle traffic, and moderate noise levels in transportation lots or maintenance facilities.

Requirements:
  • High school diploma or equivalent required; associate degree preferred.
  • Prior administrative or dispatching experience in a transportation or logistics environment preferred.
  • Use company technology and systems proficiently to support operational and administrative functions.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and remain calm in fast-paced environments.
  • Customer service–oriented attitude with a commitment to teamwork.
  • Must be able to pass all background checks and medical screenings required for transportation personnel.
  • Valid driver’s license.
