 The key mission of Catholic Charities Immigration Services is to assist newcomers in achieving not just legal status and economic self-sufficiency, but in becoming fully active participants in the social and civic life of our communities. 
The Administrative Assistant will provide coordination, direct assistance, and follow-up to low-income clients with needs related to counseling services and immigration legal benefits.  This position is primarily responsible for administrative support, maintaining oversight of the facility, monitoring the front desk, and support the program with data entry, client intakes, and fee reconciliation. Provide information and referrals to walk-ins or the general public, among other tasks as assigned. Bilingual English/Spanish required.

This position will be based out of and split days between our San Mateo office located at 36 37th Avenue, San Mateo, CA 94403 and our San Francisco Office locate 2873 Mission St. San Francisco 94110.


ESSENTIAL DUTIES & RESPONSIBILITIES
  • Front Desk duties as well as telephone inquiries (no front desk at this time);
  • Schedule weekly consultations
  • Request documents from potential clients needed for consultations and upload them into a case management program
  • Secretarial duties including the composition of correspondence and forms.
  • Provides accurate information/referrals to clients with other needs that could be met by our Agency or by other community organizations.

Education & Experience:
 
  • Associate’s or Bachelor’s Degree preferred.  
  • Experience directly related to the job qualifications will be considered in lieu of a degree.


Knowledge, Skills & Abilities:
 
  • Bilingual (English/Spanish) required.
  • Proficiency in Microsoft Office.
  • Ability to prioritize tasks, strong organizational skills, and an ability to work independently.
  • Skills in typing, word processing, and office management.
  • Excellent communication and organizational skills.
  • Able to listen actively and communicate effectively with individuals and groups and be sensitive to the client population, organize their own work, and follow-through independently.

  • The noise level in the 36 37th Avenue offices (where this position will be housed) in San Mateo is usually minimal; however, the Immigration Program is a work environment that consists of a 8:30 am-5:00 pm office environment, with weekly workshops, scheduled client appointments in person and over the phone consultations, information and referral, and intake
