The Solomon R. Guggenheim Museum is seeking an Associate Registrar, Outgoing Loans. Reporting to the Director of Registration, Collections, the Associate Registrar, Outgoing Loans, will work independently and collaboratively on the preparation, administration, and return of assigned outgoing loans from the Museum’s Collection.

SUMMARY OF POSITION:
The Solomon R. Guggenheim Museum is seeking an Associate Registrar, Outgoing Loans. Reporting to the Director of Registration, Collections, the Associate Registrar, Outgoing Loans, will work independently and collaboratively on the preparation, administration, and return of assigned outgoing loans from the Museum’s Collection.
SKILL AND EXPERIENCE REQUIREMENTS:
- Minimum five years of registration experience with a major museum, or equivalent.
- Experience with collection management procedures.
- BA in Art history or Museum Studies, or comparable work experience. MA a plus.
- Excellent organizational, written, verbal, interpersonal and administrative skills.
- Proficiency with Microsoft 365 programs. Experience with TMS and Concur a plus.
- Foreign language skills.
- Must be willing to travel locally and abroad.
KEY RESPONSIBILITIES:
Duties may include, but are not limited to, the following:
- Creates and updates loan data in the TMS database, and maintains digital loan files.
- Facilitates the loan review process. Consults with curatorial, conservation, and art services staff.
- Evaluates facility reports from applicant institutions, prepares summaries, and fields concerns.
- Drafts loan decision letters for the Senior Director of Collections.
- Prepares outgoing loan agreements. Summarizes special conditions regarding the objects to be lent, such as display or mounts required, treatment before loan, and special handling instructions.
- Arranges all aspects of the transfer of artwork to/from the Guggenheim and between loan venues including crating, transportation, couriers, security, insurance, packing, and storage.
- Generates and distributes internal art move paperwork, receipts, proforma invoices, and certificates of insurance. Files UCC-1 and UCC-3 documents as needed.
- Prepares billing for all loan expenses and assembles budget estimates for borrowers. Assists with budget reporting.
- Performs condition checks of artwork prior to loan and following return from the borrowing institution, consulting with conservation staff as necessary.
- Receives and releases artwork from Guggenheim facilities.
- Acts as courier in accompanying artwork to/from the Guggenheim and other exhibition sites domestically and internationally.
- Attends bi-monthly Outgoing Loans Committee meetings and prepares meeting minutes.
- Prepares reports for submission to the Committee on Collections of the Board of Trustees, the Legal Department, and the Outgoing Loans Committee.
- Assists the Director of Registration, Collections, with various collection and outgoing loan projects, ad hoc query reports, and statistics.
- Performs any other duties reasonably related to the functions described above.
WORK DEMANDS and ENVIRONMENT:
- Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
- Occasionally work may be conducted outdoors, exposure to varied weather conditions.
- Ability to work nights, weekends, holidays on occasion.
- Ability to lift at least 25 lbs.
EDUCATION:
- Bachelors of Art History or Museum Studies, or comparable work experience.
- Masters of Art a plus.
