Position Overview


The role of Administrative Clerk supports the day-to-day operations of the Accounts Payable department. This position is to carry out responsibilities in all or part of the following functional areas: document & records management, customer service; and for the timely updates of pertinent and sensitive information of records in the Vendor master. These responsibilities are carried out under the supervision of the Accounts Payable Team Lead and in accordance with departments procedures and policies. This position is based at our Corporate in Milton, Ontario. 

What You Will Be Doing

 
  • Ensure vendor master is updated in a timely manner with pertinent and sensitive information.
  • Work closely with billing department and factoring companies to have current information. ensuring payments are sent to correct payee.
  • Review and verify all documentation received to ensure accuracy, completion and in accordance with the department’s policies and procedures before processing.
  • Create, update, and maintain vendor records.
  • Problem solving for any issues that may arise.
  • Maintain all related filing and record keeping of documentation received. 
  • Contributes to the overall success of the accounts payable team.
  • Exemplify Traffix values and strategic goals.
  • Follows up on any issues or discrepancies.
  • Requests and follows up on missing files or paperwork.
  • Provides friendly and courteous service to all internal and external clients, carriers, and stakeholders.
  • May be assigned additional duties based on qualifications, training, and experience. (E.g. Reconciliations, projects, back up AP support).
  • Perform any other reasonable duties assigned or directed by management as necessary to ensure the continued success of Traffix and the Administration Department.

What You Will Need
 
  • 1-2 year diploma in Accounting or equivalent. 
  • Keen attention to detail and the ability to maintain accuracy while working in a fast-paced environment.
  • Strong organizational skills to meet multiple deadlines, prioritize and execute multiple tasks, while maintaining attention to detail.
  • Willingness to take initiative.
  • Flexibility to manage increased volume of work as market and scope of role changes.
  • Desire to take ownership of tasks assigned and willingness to learn.
  • Effective interpersonal and communication skills, both written and oral.
  • Ability to work effectively with limited supervision within a fast-paced team environment.
