POSITION SUMMARY
The Wisconsin State Fair Park is seeking to hire a highly motivated and self-driven Sponsorship Specialist to join our sponsorship team within the Marketing Division.
The Wisconsin State Fair Park Sponsorship Department is responsible for cultivating, managing, and executing corporate and in-kind sponsorships for the annual Wisconsin State Fair, Harvest Fair, and year-round State Fair Park produced events. The Sponsorship Specialist will play an important role in the above-mentioned areas and will specialize in the fulfillment and execution of a comprehensive portfolio of corporate and in-kind partnerships, brand activations, and partner promotions.
This position will support the overall goals of the Marketing Division, which is responsible for external and internal marketing efforts including management of digital marketing, printed collateral, social media, community affairs and strategic promotional campaign development.
EMPLOYMENT TYPE
This position is an unclassified, Dual-Limited Term Employment (LTE) position within the State of Wisconsin employment system, working an average of 40 hours per week throughout the calendar year. Annual hours worked will not exceed 2,078.
COMPENSATION & BENEFITS
The starting wage for this role will be $25 to $27 per hour, based on qualifications. A comprehensive fringe benefits package, including pension, health and dental insurance, life insurance, and disability insurance is available after a minimum employment period is met. Paid time off for vacation, holidays, etc. is not included as part of the benefits package per State of Wisconsin Legislature, s. 230.26(4), Wis. Stats.

Contingent on business needs and the seasonality of WSFP, up to 2 days of remote work per week is available after an initial training period. Remote work will be discussed during the interview stage. High speed internet access is needed to meet the requirements of remote work.

ESSENTIAL FUNCTIONS
Sponsorship Fulfillment
- Deliver outstanding customer service to sponsors throughout the year
- Prepare, distribute, execute, and track more than 125 partnership contracts and invoices annually
- Manage all aspects of partner ticket fulfillment, including ordering, tracking, and delivery
- Request, collect, and track partner insurance documentation within WSFP’s event management software
- Coordinate utility orders and payments for all on-site sponsors
- Oversee production, placement, and fulfillment of all contractual signage assets
- Manage in-kind partnerships across WSFP departments, including drafting and executing trade agreements and maintaining clear communication with trade partners
- Coordinate retail ticket promotions, including ticket ordering, delivery logistics, and signage fulfillment
- Lead planning and execution of the annual Veterans & Military Appreciation Day, collaborating with community organizations and overseeing the on-site Veterans Expo
- Support the planning and execution of annual partner preview and recognition events
- Schedule and facilitate sponsor meetings to review activations, promotions, and partnership deliverables
- Assist with fulfillment of hospitality contracts, including credentials, vouchers, tickets, furniture, utilities, parking, and other event-related needs
- Track sponsor metrics and assist in compiling recap decks that summarize partnership performance across media, digital, and experiential platforms (e.g., social engagement, website traffic, email open rates, and media analytics)
- Collaborate with the sponsorship team to execute sponsor activations and day sponsorships, including event setup, signage production and installation, and on-site support as needed.
- Provide administrative support to the Sponsorship Manager and Director, including meeting coordination, note-taking, follow-ups, and correspondence.
Sponsorship Sales
- Aid in the development of customized, strategic sponsorship proposals tailored to partner objectives and brand alignment
- Research, identify, and cultivate sponsorship prospects while maintaining accurate and up-to-date lead and contact lists
- Assist in the creation, design, and delivery of compelling proposal presentations for prospective sponsors
- Conduct cost-benefit analyses and needs assessments for both potential and existing partners to ensure value alignment and ROI
- Support the negotiation of sponsorship package terms, deliverables, and benefits
- Collaborate with the sponsorship team to develop innovative sponsorship properties, promotional assets, and new revenue-generating opportunities
- Manage and sell sponsor-related advertising inventory and creative approvals
- Assist in the sales and management of State Fair sponsorships involving booth space
- Contribute to the development and execution of non-traditional marketing partnerships and partner promotions
- Stay current on industry trends and sponsorship best practices to inform strategy and innovations
- Collaborate with Director of Sponsorship to prepare sales budgets, projections, analytic reports and presentations
- Assist in the creation and implementation of strategies to expand sponsorship sales and deepen partner engagement across Wisconsin State Fair, Harvest Fair, and year-round event opportunities
Additional Duties in Support of the Marketing Division
- Ensure positive communication within the Marketing, Sponsorship, and Communication Department as a whole, including accurate note taking and distribution at departmental meetings and various administrative tasks associated with the department as needed
- Be a team player and contribute to the general success of the Wisconsin State Fair, including other duties and responsibilities as requested and/or assigned
QUALIFICATIONS
- Demonstrated project management skills with strong planning, time management, organizational, and administrative abilities; capable of managing multiple detailed tasks simultaneously
- Bachelor’s degree from an accredited college or university, or equivalent experience and professional training preferred
- Proven ability to establish and maintain effective working relationships with sponsors, colleagues, supervisors, and external stakeholders
- Excellent interpersonal and communication skills, both written and verbal
- Proficient in Microsoft Office Suite (Word, Excel, Access, Outlook, PowerPoint) and Internet applications, with the ability to quickly adapt to evolving technology
- Highly developed customer service skills with a strong aptitude for creative problem-solving
- Ability to thrive in a dynamic, fast-paced environment, remain composed under pressure, and maintain a positive, solution-oriented attitude
