ACCOUNTING ASSISTANT:

We are seeking to immediately fill our Accounting Assistant position that will be responsible for managing day to day administrative accounting tasks, project job costing and financial reporting, customer billing and accounts receivable, accounts payable, and other misc. administrative tasks. This person will be an integral part of our team helping track the financial success of each project and of the overall company and managing the flow and work of maintaining the office.

Duties and Responsibilities include:
Accounts Payable
  • Enter job costs from vendor receipts into QuickBooks daily
  • Month end reporting comparing vendor statement to ‘bills’ entered in the books, and apply payment in QuickBooks
  • Record all other invoices received into QuickBooks daily and generate weekly AP report
  • Upload invoices in CRM, request approval from project managers for needed invoices
  • Reconcile company credit card purchases and Amazon purchases and obtain and maintain receipt records for all transactions for reconciliation

Accounts Receivable
  • Record all customer payments in QuickBooks for commercial and multifamily projects, copy checks. Make deposits.
  • Complete all commercial and multifamily billing. Enter billing into QuickBooks, maintaining all billing info in project files. Save electronic copies and mail originals as needed.
  • Process & track receipts for time and material billing.
  • Weekly QuickBooks AR reports sent to Owner. Complete follow up calls/emails per SOP
  • Request resale certs from General Contractors
  • Use company CRM for all email communication with ap contacts

Project and Financial Reporting Accounting
  • Communicate with project managers and project coordinator for approved change orders to log record in QuickBooks weekly for accurate contract amounts and process for billing
  • Generate weekly report for all supplier purchases and equipment rental and send to each project manager every Friday for review and approval by the following Friday
  • Follow up with Project Managers and/or Operations Manager regarding any unauthorized charges, incorrect amounts charged, items charged tax that shouldn’t be, items charged on wrong accounts or with wrong PO’s, or any other errors, make corrections. Compare rates charged to master price lists for vendors.
  • Enter job budgets into QuickBooks for each job awarded
  • Create schedule of values for billing based on project estimates
  • Print job cost reports every other Friday, on the same Friday payroll is processed, send to project managers for review and feedback, analyze, seek out missing info, correct and update
  • Scan all received additional work authorizations forms into file, send to corresponding project managers daily
  • Prepare and send monthly financial reports to Owner on the 15th of the month
  • Enter monthly production data and overhead data in tracking spreadsheet
  • Miscellaneous tasks as needed


Education
                High School Diploma
QUALIFICATIONS:
2 years’ experience in an accounting related field
Strong knowledge and understanding of math, working with numbers
Proficient in QuickBooks, Excel, Word and Outlook
Accuracy, detail oriented and organized
Foster positive communications and relationships with Bookkeeper, Owner, Payroll Processor and team members

PHYSICAL REQUIREMENTS:
Occasional lifting and carrying up to 20 pounds.
Must be able to work at computer or desk area for extended periods of time.

This job is an Hourly position, Monday through Friday, 8a-5p
