We are hiring an Office Services Coordinator for a client located in Columbia

The chosen candidate will report to the Executive Assistant to the CEO

Position Summary

The Office Services Coordinator undertakes a variety of day-to-day office and clerical tasks. In this role, the Office Services Coordinator will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other business activities. The goal is to ensure that office operations are efficient and add maximum value to the organization.
Tasks include, but are not limited to, maintaining office supplies and mail, facilitating meetings and appointments, organizing and providing tours of the production facility, working closely with and in support of the Executive Assistant, coordinating with Security and other departments, and other duties as assigned. Because this is a large facility that includes manufacturing, the Office Services Coordinator must be able to walk around frequently, as needed.
The ideal candidate is an organized and competent professional with excellent communication skills. This person must be personable, organized, enjoys working with people, and is able to carry out administrative duties with accuracy and speed.
Job Duties
  • Coordinate and facilitates cross function meetings.
  • Perform various clerical tasks as needed (file papers, organize supplies, etc.)
  • Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
  • Prepare outgoing mail, faxes and packages
  • Assist with maintaining staff and company calendars
  • Set appointments, meetings, and conference calls
  • Plan travel arrangements for executives
  • Greet and assist visitors when they arrive at the office
  • Coordinate with Executive Assistant to assist team members with catered lunches and other meetings
  • Monitor office supplies inventory, place orders, and distribute.
  • Assist in vendor relationship management.


Educational Requirements
High school diploma or GED equivalent required

Experience Requirements
Experience in an office environment or in office/facility services preferred.

  • Problem identification/corrective action skills – can lead an interdepartmental meeting to work on problem solving/root cause analysis/work-around plans/risk assessment & mitigation

Tools
Microsoft Office Suite.  Working knowledge in SharePoint is preferred.
