POSITION:           Human Resources Manager
REPORTS TO:      Human Resources Director
JOB SUMMARY: Provide administrative and managerial support to the Human Resources Director, including payroll action form processing, filing, answering telephones, Full-Time Status audits, creating new hire and termination files, creating orientation packets and assisting employees and other projects, as requested. Assist with the administration of the employee recognition programs. As a member of the human resources team assists with the management of employee relations, benefits coordination, recruitment efforts and staff counseling.
ESSENTIAL JOB FUNCTIONS:

  1. Greet all individuals arriving at the Human Resources department and assist with their needs
  2. Maintain confidentiality and security of specified HR information, correspondence, reports, and files
  3. Maintain public employee bulletin boards and communication systems
  4. Generate monthly review lists and late review summaries
  5. File employee paperwork into current files, termed files and medical files
  6. Create termination files and remove terminated employees from the HR employment files and spreadsheets
  7. Create new hire files and orientation packets
  8. Time punch audits
  9. Full-time status audits quarterly
  10. PTO audits quarterly
  11. Create privacy (shadow files) files to comply with HIPPA as needed
  12. Must be able to speak and communicate in Spanish preferable
  13. Assist with recruitment using TAM, interview and select employment candidates, ensuring references and background procedures are handled
  14. Sends out offer letters and new hire paperwork to new hires coordinating with HRD for employee’s first day. Enter new employees in Paychex.
  15. Assist the DHR with planning and participating in the New Employee Orientation, preparing proper folders, schedules and entering dates of completion in Paychex.
  16. Assist DHR to plan and coordinate special events for staff members including the holiday party, managers’ party, and employee appreciation events.
  17. Work closely with managers regarding staff relations issues, solves staff grievances and problems, act as a representative to management for employees and to employees for management. 
  18. Generate and maintains staff informational material including staff bulletin board, birthday/anniversary lists, job postings, meetings, memos and collateral material for insurance, 401(k) plan and other staff benefits.
  19. Manager TAM by posting positions, closing positions, sending regrets, updating information and running reports.
  20. Administer Employee of the Month awards and Employee of the Year award.
  21. Coordinate employee room reservations and dining comp/discount program.
  22. Inventory and purchase necessary office supplies, birthday and anniversary cards, and reward All Star program gift cards.
  23. Maintain and follow high safety standards and personal conduct.
  24. Follow Company policies and procedures as established in the Employee Handbook.

ESSENTIAL WORK SKILLS:
  1. Ability to communicate with proper grammar in both English and Spanish, with hotel guests, employment applicants, management, and co-workers
  2. Working knowledge of Word, Excel, Acrobat Read, and Publisher
  3. Ability to maintain confidentiality of guest and employee information and designated hotel data
  4. Ability to work with minimal supervision
  5. Ability to work cohesively with other departments as part of a team
  6. Ability to promote positive relations with employees, applicants, vendors, and management
  7. Ability to focus on attention to detail
  8. Ability to maintain an organized office environment
  9. Attend interdepartmental meetings as required.
  10. Sincere and warm interaction with all guests/clients/vendors including consistent eye contact with a smile.
  11. Follow and deliver 5 Star services’ standards, delighting guests by anticipating their needs.
  12. Other duties as assigned.

  • MINIMUM EDUCATION AND PHYSICAL REQUIREMENTS:
    1.    College Degree preferred
    2.    Ability to type 40 wpm accurately
    3.    Ability to lift 25lbs
    4.    Must be bi-lingual, Spanish and English
Starting salary is $82,000/year + bonus incentive
