JOB OVERVIEW:

  • Position supports the Area Sales & Marketing teams for Susurros del Corazon in Mexico.

    • SALES: 

      • Works closely with Travel Professionals, Group Planners and all members of the Sales & Operations Departments to increase and manage individual bookings.  

      • The role must provide superior customer service and bring value and support to the Area Sales Team.  

      • The individual will act as an on-property liaison for the sales team creating contracts, turnovers, amenities, perform site inspections, sales reporting, and overall coordination for the remotely-based Sales Team.   

  • MARKETING: 

    • The Sales & Marketing coordinator supports the needs of the Area Marketing team while working closely with the on-property operations team. 

    • This role supports logistics, including media and tastemaker visits, on-property collateral needs, and light event coordination when needed. 

    • This individual will play a key role in helping to maintain consistent communication between the Area Marketing team and the operations team. 

 

QUALIFICATIONS & SKILLS:

Essential:

  • Must possess broad knowledge of all aspects of high-end hotel operations, with strong emphasis on sales & reservations.  

  • A foundational and understanding of a luxury aesthetic

  • Ability to multi-task and take direction from multiple managers.

  • Ability to work independently, effectively and efficiently.

  • Available to plan and conduct site visits with clients. 

  • Superior customer service skills are essential.

  • Self-starter, and problem solving thinker.

  • Ability to communicate clearly and effectively in English both verbally and written.

  • Excellent time management skills.

  • Strong organizational skills are required.

  • Professional appearance & demeanor.

Desirable:

  • At least three years experience working in a hotel sales or marketing capacity.

  • Knowledge of Delphi, , CVENT, Opera and Google suite are a plus.

  • Working knowledge of reservations and sales & catering systems.

  • Knowledgeable on hotel industry contracts including consortia & OTA.

  • Knowledge of food and beverage and spa operations.

 

ESSENTIAL JOB FUNCTIONS:

  • Work with the Sales team in order to ensure adequate coverage for the Sales Department.  Field unsolicited leads.

  • Manage RFP inboxes.

  • Coordinate partner stays, sites and all details around the experience.

  • Support team to achieve annual budgetary goals with respect to occupancy and revenue.

  • Manage relationships with accounts and ensure that all information/history in the reservations system is current and accurate.

  • Maintain a relationship with travel industry contacts throughout the planning of guest stays as needed.

  • Prepare Group contracts and turnovers.

  • Execute first deposit requests.

  • Prepare and assist sales managers for travel.

  • Execute email requests.

  • Maintain a close relationship with remote sales managers and the marketing team to ensure the department runs smoothly and that hotel-wide standards initiatives are coordinated. 

  • Coordinates all Media and Tastemaker visits, organizing itinerary, logistics and serving as the on-property point of contact. 

  • Works with area marketing team and on-property operations teams to facilitate the flow of communication regarding experiences, and various marketing efforts 

  • Support the teams with design work and various collateral needs:  including menus, event invitations and property announcements 

  • Plays a key role in supporting on-property marketing and PR events, supporting with event coordinator when appropriate 

 

SECONDARY JOB FUNCTIONS:

  • Continually update Delphi,& Reservations database with pertinent details.

  • Assist with development of bookings (Group).  

  • Plan and organize Familiarization Trips.  

  • Assist Director of Sales with development of the sales department (including training, etc.).  

  • Act as a backup sales resource to the sales team.

  • Ability to plan and execute Site Visits.

  • Other duties as assigned.
