Job Title: Bilingual Program Assistant
Reports To: Family Support Director
Location: Agency (Excelsior)

Position Overview
In accordance with Family Connections’ mission and standards, the program assistant works in partnership with parents/ caregivers, staff, and community agencies to build collaborative relationship and provide quality customer service.

Essential Responsibilities
  • Answers and directs agency incoming phone calls and onsite visitors
  • Provide high level customer service and hospitality to participants
  • Provide participants with Information and Referrals, handouts, forms, and other information
  • Manage the front office by keeping it orderly, safe, and updated with current outreach materials
  • Support with monthly tuition and occasional enrollment paperwork collection.
  • Conduct inventory, ordering and organization of materials and supplies
  • Assist with data entry, community events, and outreach in the community
  • Assist in setup and cleanup of workshops and activities, including confirming with attendees and arranging childcare and food
  • Assist with childcare during programs
  • Other duties as assigned

Qualifications / Requirements:
  • High school diploma
  • Bilingual in English and Spanish
  • Minimum two year of administrative office experience
  • Experience working with diverse communities including low-income families
  • Strong administrative and organizational skills, including computer literacy and familiarity with Microsoft Office Suite, zoom or similar software.
  • Excellent organizational skills and attention to detail
  • Outstanding customer service skills
  • Ability to operate general office equipment.
  • Excellent written and verbal communication skills
  • Ability to type 50 words a minute
  • Ability to maintain confidential information
  • Team player and flexible able to work in dynamic, busy environment
  • Able to handle multiple tasks, great problem solving, mediation skills and commitment to the Agency’s mission

COVID-19 Requirements

Physical Demands
While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 25 pounds and on occasion may require lifting/carrying a child or object up to 50 pounds.  Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
