We’re looking for a Project Coordinator to assist our Project Managers in managing their construction projects in our rental apartment properties. This role involves the set-up of capital jobs, data integrity and cost coding management, initiating and monitoring budget workflow approvals, monitoring project scopes, schedules, budgets and expenditures, vendor contract administration, compliance with corporate policies, processes and procedures, and helping the Project Managers to deliver on budget and on time projects.

We are seeking a highly motivated self-starter who thrives in a fast-paced environment, enjoys working as part of a collaborative team but is very capable of completing assigned tasks independently. The ideal candidate will already possess general knowledge and practical experience in the high-rise residential construction sector along with its fundamental process’. You should be capable of understanding design and construction terminology and be able to interpret typical construction drawings. This highly administrative role requires a dedicated individual that prides oneself in their attention to detail, meeting and exceeding expectations and someone who finds personal satisfaction being an integral part of a fast-paced energetic team, delivering high quality residential products for our clients and residents.

Reporting to the Director of Project Management & Technical Services, the successful candidate will provide Project Coordinator duties for GWL Realty Advisors Residential.  The successful candidate will directly assist three (3) Project Managers for the Central Region (Ontario), two (2) Project Managers for the East and West Regions (Nova Scotia, Quebec, Alberta & British Columbia) and work on a cross-functional team with multiple project vendors and stakeholders.

  • Manage Job Cost processes, procedures and workflow approval streams for updating Work-In-Progress (WIP) reports and assist with WIP review meetings with Project and Property Managers to ensure timely status reporting (Yardi 7S & Excel)
  • Manage Job Cost processes, procedures and workflow approval streams to ensure all project costs are funded, approved and coded in compliance with business and financial capital policies and any operating costs are directed back to their appropriate cost centre (Yardi 7S)
  • Assist Project Managers with updating project budget planning for current and future year capital reports and cross-referencing with consultant building condition reports.
  • Correspond and follow-up with clients, contractors, consultants, project managers and all project related property management stakeholders to assist with and facilitate project development and work completion.
  • Participate in the set up and coordination of critical project files, documents, and drawings on a project-by-project basis (primarily electronic Yardi 7S & Excel, hard copy when applicable)
  • Support a variety of project coordination and administrative tasks including:
    • Project set up and maintenance for Major Capital Project Management and Technical Services team’s work using company’s cost category accounting and processing platform (Yardi 7S & Excel)
    • Creating, documenting, issuing and tracking of Purchase Orders, Contracts, Change Orders, Original and Revised Budgets and required approvals (Yardi 7S)
    • Vendor invoice recording, coding, and integration for processing payment through Accounting.
    • Processing and set up of new unbudgeted jobs.
    • Coordination with Residential teams and accounting resources to accurately track project budget commitments and forecasts.
  • Provide necessary support to the Project Managers for the preparation, correspondence and presentation materials, in both electronic and hard copy format for RFQ/RFP submissions as required.
  • Investigate project variances and submit variance reports to management (Yardi 7S & Excel)
  • Attend monthly project status meetings with Project, Property and Asset Management teams to assist with providing updates (Yardi 7S & Excel)
  • Assist with the preparation of monthly, quarterly and annual financial reports for Director and Project Manager inputs as required to ensure report distribution deadlines are met.
  • Assist with closing out project and contracts in Yardi financial system and assist Project Managers with collection of deliverable closeout documentation from consultants and contractors upon project completion including but not limited to; Commissioning Reports, As-Built drawings, Operation and Maintenance Manuals, Permits, Warranties, Payment Certifications, Substantial Performance Certificates, Holdback Release, Insurances, etc.
  • Provide ad hoc reporting requirements as necessary.
  • Other responsibilities as delegated by the Director.

  • Minimum 3-5 years experience in a project coordination function in either real estate operations/management or from the construction industry
  • Experience with full cycle project management, construction contracts, financial analysis and reporting is an asset.
  • Demonstrated experience with budget administration, cost control, contract administration and filing/record keeping.
  • Possess construction project and construction contract knowledge.
  • Advanced skills in using Microsoft Office/O365, Teams, Excel and Word
  • Knowledge of Yardi 7S Voyager Job Cost and P2P Finance Manager modules is an asset.
  • Ability to communicate effectively, both oral and written; possesses the ability to develop and sustain cooperative working relationships.
  • Self-motivated, takes initiative and confident with excellent verbal and written communication skills.
  • Demonstrated analytical, critical thinking and problem-solving skills.
  • Strong organizational and multi-tasking skills to work effectively under pressure, meet tight deadlines, ability to handle multiple demands and competing priorities.
  • Must be detail-oriented, be willing to learn in a dynamic environment and work well with ambiguity.
  • Analysis of project information to create graphical and database reporting is an asset.
  • University or College Degree / Diploma, ideally in either Engineering/Architecture/planning or Business Administration, Commerce or in an appropriate field of study
  • Experience in property management and construction industry related project accounting principles is an asset.
  • Bilingual (French) would be considered an asset.
