The ideal candidate is highly organized with a keen eye for detail and has experience in construction services.  The successful candidate will have a great service-oriented attitude and will provide project and administrative support to the Managers, Project Management Services in Downtown Toronto and North York.
Your responsibilities will include:
Project Coordination: ensure adherence with company policies and procedures throughout the course of all capital and construction projects.  Attend project meetings as required, taking notes and following up on action items.  Maintain and update project budgets as each project progresses, including tracking invoices.  Foster positive tenant, client and contractor relationships.  Take ownership for following up on documentation approvals from tenants, contractors and GWLRA staff.

Request for Proposals / Quotes / Tenders:  prepare drafts of Requests for Proposals, Quotations and Tenders in compliance with GWL Realty Advisors’ tendering practices.

Work Permits:   take responsibility for reviewing all work permits from contractors, and taking necessary actions in order to support the subsequent work, including booking service elevators, hiring additional security guards as required, preparing and distributing notices to Tenants, etc.

General Administration: assist the Managers, Project Management Services with a variety of administrative tasks such as project tracking, data analysis, maintaining an effective filing system for all project-related documentation, and preparation of monthly expense reports.

The ideal candidate brings excellent communications skills, both written and oral, and knowledge and understanding of construction drawings. You will showcase your established track record of effectively managing multiple priorities.

You will have combined related education (Associate’s or Bachelor’s degree, or relevant college program completion) and a minimum of 2 years industry experience with a strong background in administrative support, ideally in a project management-related role.  

You have intermediate to advanced skills in Microsoft Office products.  Experience with AutoCAD a definite asset.
