Where do you see yourself? 
 

We’re looking for a Property Administrator to assist with a variety of administrative functions including processing and coding property invoices for payment, creating work orders, maintaining department files.

RESPONSIBILITIES
  • Enter monthly rent transactions in Voyager 7S
  • Assisting Property Manager and Assistant Property Manager with compilation and maintaining of all documentation, binders, files, electronic filing, expense reports, and various administrative duties.
  • Provide both verbal and written communication with Tenants and Vendors
  • Work closely with various internal groups
  • Identify and code operating and capital expenses, ensuring invoices match to purchase orders for accuracy and accurate allocations; ensure timely processing
  • Prioritize property operating expense invoices that require immediate payment
  • Maintain control logs of property utility, property tax, leasing and capital expenditure invoices, utility tracking administration
  • Maintain an accurate filing system for audit and reference; monthly AP filing
  • Handle a variety of internal and external vendor inquiries regarding invoice payment
  • Maintain utilities consumption and costs tracking sheets,
  • Assist in preparation of tenant charge backs (where applicable)
  • Assist in annual audit function by locating and copying invoices for audit and verification purposes
  • Provide back up for Assistant Property Manager if needed
  • Monitoring Property Management shared mailbox for invoices and work order requests.
  • Maintain Angus Work Order system
  • Maintain department vacation records
  • Create and deactivate badges, assign cafeteria codes and maintain the integrity of the Lenel building access system
  • Assist with Emergency Response/Fire Drills
QUALIFICATIONS
  • 2 + years of experience in property administration/real estate property accounting
  • Yardi 7S experience an asset
  • Current enrollment in BOMI RPA program is considered an asset
  • Post secondary education in related discipline
  • Proven organizational and multi-tasking skills; able to cope with changing client needs and deliver successful results within the time frame
  • Exceptional communications, organization, interpersonal and time management skills
  • High initiative, professional, and flexible.
