JOB TYPE: Full time 40 hours per week

We’re looking for a full-time Administrative Services Coordinator to maintain efficient office and resident operations. We are looking for an enthusiastic, professional and authentic individual with a passion for customer service.

Position Overview: This role assists the site team in carrying out the functions of the property including answering telephone calls and taking messages; distributing incoming mail; managing parking lot administration, purchase orders, completing expense reports and other accounting forms as required. This role also provides clerical support to the management team.


Duties:

Customer Service 
  • Develops and maintains an excellent line of communication among site management, contractors and tenants 
  • Handles all telephone and walk-in inquiries from current residents professionally and courteously 
  • Provides superior customer service to both internal and external clients by identifying and understanding the needs of others 
  • Promotes a strong sense of community 
  • Responds and actions tenant complaints and concerns; escalates to the Community Manager as appropriate 
  • Assists in booking appointments with our contractors to ensure they completed the required work 
  • Follows up with residents after maintenance work, to ensure job completion and tenant satisfaction 

Administration and Reporting 
  • Receives, sorts, inspects and stamps rent cheques for deposit 
  • Develops and maintains the departmental filing system 
  • Records transactions and runs various operating reports in Yardi 
  • Welcomes new residents and provide a full orientation in coordination with Leasing Team 
  • Sorts all incoming and outgoing mail services including courier requirements 
  • Organizes the office area to ensure it is kept tidy and well-organized 
  • Maintains purchase order control, issue and track orders 
  • Receives security reports and reviews for problems or trends to be escalated to the Community or Property Manager 
  • Maintains the building security access fobs, suite key records, and updates intercom records 
  • Monitors the office inventory (stationery & supplies) 

Requirements:
  • 2+ years of office, administrative, or assistant experience in a fast-paced environment
  • Bachelor’s Degree or Diploma an asset
  • Possesses exceptional communication and interpersonal relationship skills
  • Intermediate level knowledge of Yardi and MS Office (Word, Excel, Outlook, and PowerPoint)
  • Strong attention to detail, problem-solving, and follow-up is required
  • Must be a self-starter with high degree of initiative, flexibility, and professionalism
  • Ability to work with a diverse group of people and interests while being culturally aware
  • Possess knowledge of health and safety practices
  • Ability to follow oral and written instructions and be able to maintain effective and cooperative working relationships
  • Property Management/Real Estate experience an asset
