We’re looking for a Property Administrator to assist with a variety of administrative functions including processing and maintaining tenant files, depositing rental cheques, processing tenant rental cash receipts, and coding property invoices for payment.

This role is currently work from home with 1 day work from office, and will be a full hybrid model in the future.


Payment processing
  • Enter monthly rent transactions in Voyager 7S: Cash receipts and data entry, including cheques and EFT recording
  • Perform all rental account and invoice administration, including reconciliations, record maintenance, collections and all tasks related thereto; provide both verbal and written communication with Tenants
  • Identify and code operating expenses ensuring invoices match to purchase orders for accuracy and accurate allocations; ensure timely processing
  • Prioritize property operating expense invoices that require immediate payment
  • Assist in preparation of tenant charge backs (where applicable)
  • Handle a variety of internal and external vendor inquiries regarding invoice payment

  • Assisting Property Manager and Supervisor Property Administration with compilation and maintaining of all documentation, binders, files, electronic filing, expense reports, and various administrative duties.
  • Maintain an accurate filing system for audit and reference; monthly AP filing
  • Assist in annual audit function by locating and copying invoices for audit and verification purposes

Administrative support
  • Work closely with various internal groups to ensure all administrative aspects of Tenancy Leases are maintained
  • Assist in annual audit function by locating and copying invoices for audit and verification purposes
  • Provide back up for Supervisor Property Administration as well provide relief for Reception

Tenant Communications
  • Provide both verbal and written communication with Tenants and Vendors
  • Monitoring Property Management shared mailbox for invoices and work order request
  • Consistently provide improved service and maintain a positive and professional working attitude

  • 2 + years of experience in property administration/real estate property accounting
  • Yardi 7S experience an asset
  • Current enrollment in BOMI RPA program is considered an asset
  • Post secondary education in related discipline
  • Proven organizational and multi-tasking skills; able to cope with changing client needs and deliver successful results within the time frame
  • Exceptional communications, organization, interpersonal and time management skills
