We’re looking for an administrative assistant to support a busy commercial property management office!

RESPONSIBILITIES

Customer Service
  • Complete tenant maintenance requests in a timely manner; take action on complaints if needed
  • Coordinate Move-in/Move out inspections with tenants
  • Develop and maintain an excellent line of communication among building operators, staff, management, contractors and tenants and other external parties; maintaining excellent working relationships
  • Communicate any unusual operational issues to the appropriate Property Manager
  • Assist in setting up tenant functions and events

Administration and Reporting
  • Update capital reports
  • Assist property managers in the organization and follow-up on tenant renovations and improvements
  • Prepare tendering and contract documents and assist in the preparation of formal leases, offers to lease and other documentation as required
  • Cross-train for vacation/sick day coverage of AP/AR and Tenant Services Coordinator roles
  • Assist in due diligence of property acquisitions as needed
  • Communicate and/or send out tenant advisory notices
  • Assist with the set up and maintenance of a computerized preventative maintenance program (ANGUS)
  • Assist with budget preparation and reporting
  • Perform various administrative duties including typing, filing, expense reports, travel arrangements, etc
  • Other duties as required 

QUALIFICATIONS
 
  • 2+ years of experience working in an administrative role
  • Post-secondary education in related discipline
  • Proficient with Microsoft Office products (MS Word, MS Excel, MS PowerPoint
  • Knowledge of Yardi will be considered an asset
  • Eager for exposure to a fast-paced commercial real estate office
  • Ability to deal with confidential/sensitive issues using discretion
  • Excellent problem solving, organizational, interpersonal, and time management skills
  • Exceptional written and oral communication skills
  • Proven analytical ability and judgment skills;
  • Adaptable and eager to thrive in a dynamic work environment with tight deadlines and support a multi-person team with a professional and service-oriented attitude
