Executive Assistant

SALARY:                                 $16.00-17.40/DOE

The Executive Assistant provides administrative assistance and clerical support for the Tribal Executive Committee and Tribal Administrator.  Performs other duties, including scheduling, corresponding, emailing, greeting visitors, routing callers, taking messages, and answering questions and requests.

Duties and Responsibilities:
  • Prepare confidential and sensitive documents for the Executive & Council.
  • Coordinate and prepare council meeting agenda items & maintain hard copy and electronic filing system of Council Packets.
  • Coordinate, track, and process travel related requests for Council, Executives, and Departments.
  • Conduct Tribal credit card purchases and maintain record for process, completion of orders and reconciliation to accounting.
  • Assist with the Tribal Administrator to update news and events on Tribal website & department shared calendar.
  • Coordinate reservations and promotion of Nuwuvi Park rental use.
  • Coordinate administration vehicle usage and issue departmental charge cards.
  • Maintain master contact directory for all Tribal Administration Departments.
  • Create flyers and email notices to Tribal Membership and Departments.
  • Coordinate Tribal Newsletter development and distribution.
  • Assists with recording keeping of Board & Commission vacant seats and terms.
  • Coordinate in event planning for Tribal events, e.g., preparing Annual Meeting, Nuwuvi Days, Indian Days, Senior Elder Dinner, Veterans Day, Cemetery Clean Up, and any other Tribal Administration Events.
  • Maintain office machine supplies and serve as point of contact for repair.
  • Maintain and purchase office supplies/break room supplies for Administration.
  • Cross train with the Secretary/Receptionist position to cover employee absence.
  • Other duties as assigned.

Qualifications:
  • Possess at least 2 years of clerical experience or office management.
  • HS Diploma or GED required, AA degree in Business or related field preferred.
  • Ability to compose memos and letters and type 60 wpm.
  • Proficient in Microsoft Office and other related computer programs.
  • Able to perform duties with limited supervision.
  • Verbal and written command of the English language.
  • Possess strong organizational skills, able to meet short deadlines and work on multiple projects at one time.
  • Maintain Confidentiality

Other Requirements:
  • Pass pre-employment Drug screen and background check.
  • Comply with Drug-Free Workplace Policy.
  • Ability to work occasional weekends.
  • Possess a valid Driver’s License.
