AIPSO is a management organization and service provider for various insurance industry groups responsible for administering the residual market. We are a national organization that serves local customer needs. Centralization and standardization are key to many AIPSO services because of the inherent economies of scale and other efficiencies.  However, our organization is based on customer focus and recognizes the need for flexibility in serving customer groups with diverse interests.

Essential Duties and Responsibilities: 
  • Provide leadership and support, daily oversight, instruction and day-to-day performance feedback to team members.  Assign and review, or re-distribute work, as appropriate.
  • Develop/establish process improvements on business processes throughout the department and organization with the department manager.
  • Document departmental processes and procedures, assist in the training of staff, customers, and users, and continually evaluate and maintain the proper controls and standards of the unit.
  • Administer all changes and updates to the Imaging software and programs within the department, including Kofax Scanning, AppEnhancer Administration, and Records Retention & Destruction schedules.
  • Provide End of Month Reporting and reconciliation for Accounts Payable and manager review.
  • Review and approval of invoices for payment to contract vendors of Support Services, as well as maintenance of these entries in tracking software.
  • Represent the department through participation on internal and regional teams and with cross-functional support during major projects.
  • Lead internal team meetings to brainstorm ideas and procedures to address problems, recognizing the value and needs of the internal and external customer.
  • Maintain excellent relations with AIPSO's internal and external customer base, staff, associate Support Services Team Leader, and Support Services Manager.
  • Provide employee feedback and goal-setting, writing and administering appraisals in cooperation with the Support Services Manager.
  • Maintain and coordinate work schedules and time off for Imaging team.
 
Education:
A college degree is preferred: Associate degree or equivalent from a two-year college or technical school or a Bachelor’s degree from a four-year college or university.  Additional appropriate experience will be considered in lieu of a degree. 

Experience:
5 or more years of experience in office and operational support. Experience with various PC programs.  Experience in inventory control and scheduling.  Experience in a team-based project driven environment.  Supervisory and/or team leadership experience preferred.
 
Skills/Knowledge:
  • Proficient in the use of Microsoft Office productivity tools (e.g. Outlook, Word, Excel).
  • Ability to independently troubleshoot a wide range of operational problems.
  • Aptitude for people/process problem solving and the ability to make both team based and independent decisions; including ability to analyze complex issues, find the root cause of the problem, and consider a wide range of alternatives before acting.
  • Demonstrate strong verbal and written communication skills, including ability to effectively present information and respond to questions from groups or individuals.
  • Ability to multi-task and demonstrate flexibility while maintaining attention to detail.
  • Demonstrate excellent organizational and customer service skills as well as strong interpersonal skills.
  • Ability to work independently and interact professionally and effectively in a team environment.

Salary Range: $56,400 – $90,000 Annual.  Actual salary for this position will be determined by a number of factors, including the scope, complexity, and location of the role as well as the cost of labor in the market; the skills, education, training, credentials, and experience of the candidate; internal equity and other conditions of employment.
