Position Opening:       Development Assistant/Administrator – Annual Giving and Chancellors Club Support*

Position Summary:
Administrative support position providing assistance to key staff involved with Annual Giving and Chancellors Club gift acquisitions and administration.  Prepares correspondence, maintains files, prepares reports, coordinates calendars, sets meetings, handles travel arrangements, processes expense vouchers, assists with information requests and coordinates acknowledgements of Annual Giving and Chancellors Club gifts.  Handles sensitive and confidential information while adhering to KU Endowment’s guidelines for maintaining privacy.

*Note:  This position will be filled at either the Development Assistant or Development Administrator level dependent upon the successful candidate’s experience and qualifications
Examples of Duties and Responsibilities:
  •  Provides administrative support to the Senior Director and Director.
  • Responsible for high-volume production and accuracy of auto- and special-acknowledgment letters to specified donors.Initially proofs donor data against the information entered in Advance for the ultimate production of donor acknowledgement letters. Communicates any necessary receipt edits/corrections to Gift Processing. Coordinates the orderly sending of Annual Giving gift cards to the KU Alumni Association for biographical update and alumni news.Handles a high volume of returned mail for address correction.
  • Assists the Director with Chancellors Club data management and manipulation critical to gift solicitation activity.
  • Assists with various direct mail support duties within Annual Giving and is required to be the primary operator of the inserting/folding machine.
  • Coordinates calendars, arranges appointments, makes reservations, collects and distributes department mail, sets meetings, handles travel arrangements; processes invoices and expense reports; monitors expenditures, print supplies and inventory.
  • Serves as the primary contact for the donor support telephone hotline.  Prepares transmittal forms for processing donor gifts.
  • Prepares, organizes and maintains appropriate and confidential files and records.
  • Follows KU Endowment policies and procedures and performs other work as directed or required. 
Minimum Qualifications:
Requires one to three years (three to six years, preferred) of administrative support experience with considerable skill in development support processes, including word processing, computer systems (Word, Excel and Outlook) and databases.  Must have experience with office practices and procedures and be proficient in English, grammar, spelling, punctuation, and basic math (including some statistics).
Ability to organize, plan, and set priorities with minimal supervision and participate as part of a team.  Must exhibit strong interpersonal communication skills, ability to establish and maintain effective working relationships inside and outside the Association, and possess a deep knowledge of all areas and departments within KU Endowment.  Ability to adapt to new procedures and technological advancements.  Attention to detail is required and the ability to exercise good judgment in making decisions.
