SUMMARY
The Cline Cellars & Jacuzzi Family Vineyards Bottling & Procurement Coordinator reports to the Director of Winemaking and Viticulture and oversees the bottling schedule and coordination of bottling materials to ensure that bottlings meet deadlines. Main areas of responsibility are:
Scheduling: Maintain bottling schedule, sending daily and weekly schedules, and communicating schedule changes to the crew.
Procurement: Coordinate with preferred vendors to source dry goods, maintain dry goods inventories and work with Winemaking to efficiently order dry goods according to schedule demands and price targets. Working inter-departmental to assist in sourcing dry goods for new products.
Data Management: Create wine items and associated Bill of Materials, updating as needed.
Vineyard and Winemaking support: Data collection and support, Sustainability certification, lab and harvest support, cellar support and data input
Vineyard and Winery Support: Assist with winery and vineyard duties as needed. Act as additional support to winemaking team.
A successful applicant should be well-organized, skilled multi-taskers who thrive in a fast-paced environment. They need to be able to collaborate with multiple departments and be answer focused and driven. This is a hands-on position with the winemaking team—a successful candidate would be comfortable with both an office type environment, and hands on winery and vineyard work if needed.

ESSENTIAL DUTIES & RESPONSIBILITIES:
Scheduling to include:
- Publishes and manages the weekly/monthly/yearly bottling schedule in partnership with the winemaking team to optimize in stock wine SKUs; meets weekly with production team to review schedule.
- Functions as single point of contact for communication regarding wine finished goods product status, quantity, and release date.
- Troubleshoots with bottling team on packaging related issues to eliminate unplanned reworks.
Procurement to include:
- Generate and send purchase orders for dry goods to vendors allowing for the required lead times to maintain the production schedule, ensuring proper quantities to meet demand.
- Optimizes order volumes to minimize purchase price variance impacts on finished goods COGs.
- Stays informed on developments of new technologies and materials as they relate to wine packaging and closures
- Assists in bottling quality assurance programs when needed
- Participates in the coordination of engineering changes, product line extensions, or new product launches to ensure orderly and timely transitions in material or production flow
- Works with vendors to implement package changes/refinements
- Communicate with production teams on bottling schedule changes.
- Directly communicates annual material forecasts to suppliers and provides updates regularly to ensure availability of dry goods.
- Coordinates solicitation and evaluation of packaging bids, negotiation packaging contracts, minimize costs necessary to achieve target quality levels
Data Management:
- Data entry expert and keeper of job specific master data in Navision; wine item numbers, packaging item numbers, maintains accurate finished goods BOMs in Navision.
- Performs physical inventory of packaging goods on a monthly basis, and investigates and adjusts inventory as necessary.
- Investigates and corrects discrepancies found between procurement and receival activities and accounting records.
- Backup data entry for winemaking team.
Vineyard and Winery Support to Include:
- Vineyard data input, including but not limited to, weights from harvested blocks into Navision, Pago data input and help with vineyard monitoring, tracking
- Working with departments for Sustainability certification and execution
- Sampling schedules and Laboratory Data Entry under supervision of Oenologist
- Helping in the cellar and laboratory during harvest
- Vineyard monitoring
- Data entry related to bottling, bottling supplies, winery additives and winery dry goods working with Production Winemaker
- Cellar sampling and topping and general cover of specific winery work as required
QUALIFICATIONS:
Experience, Knowledge, and Skills
- Proficiency in Microsoft Excel; experience with Navision, PAGO and Claret a plus
- Ability to work closely and collaboratively with others
- Ability to work under pressure while managing multiple projects and prioritize under tight timelines
- Strong attention to detail and organizational skills, ideally a task orientated person
Physical Demands
- Work environment involves continuous sitting with occasional standing
- Fine motor control needed in computer work
- Work area will be occasionally noisy and/or dusty
- Intermittent walking, bending, twisting and kneeling may be needed
- Ability to lift/carry up to 50 lbs intermittently
- Ability to push/pull up to 50 lbs intermittently
- Clarity of vision at approximately 20 inches or so for quality control issues
