Luxe Sunset Boulevard Hotel is a stunning property at the crossroads of Brentwood and Bel-Air. Located within minutes of UCLA, the Getty Museum, and Skirball Cultural Center, our convenient location makes it easy to access the best of LA.
Primary Objective:

Perform clerical, administrative and other duties to assist in the smooth operation of the Sales and Catering Departments.

Areas of Accountability:
  • Answer telephones and return calls in a timely manner.
  • Input data into Group Rooms Control Book.
  • Distribute Mail.
  • Create and maintain databases.
  • Control office supply budget along with the DOS and Director of Special Events.
  • Must be able to work on property with and understand financial data, and basic arithmetic functions.
  • Complete weekly/month end production report for distribution to the DOS and Director of Special Events.
  • File all pertinent correspondence in a timely manner.
  • Type all correspondence pertaining to Sales, such as proposals, contracts, Packages, etc. and distribute accordingly.
  • Responsible for daily routing of information to necessary departments.
  • Maintain an adequate inventory of Sales and Catering Kits.
  • Take phone inquiries and transfers information to appropriate manager.
  • Group Resumes printed out weekly and distributed to all department heads.  Confirm and clarify special needs with contact person on rooms contract form.
  • Prints daily briefing reports for sales.
  • Handle reservations if client needs immediate assistance.
  • VIP Reservations require VIP amenity form and file form in appropriate folder.
  • VIP amenities require a welcome letter signed by sales manager.  Deliver to room service for proper execution.
  • Thank you letters sent to all groups that have checked out.
  • Update GRC.
  • Works well in stressful, high pressure situations, including the ability to handle guest objections and disputes to satisfactory results.
  • Must be able to show initiative in job performance, including anticipating, preventing, identifying and solving problems as necessary.
  • Must be effective at listening to, understanding and clarifying the concerns and issues raised by customers, co-workers and guests.
  • Keeps supervisor fully informed of all problems or matters of significance.
  • Performs all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures to achieve the overall objectives of this position.
  • Maintains a favorable working relationship with all other company employees to foster and promote a cooperative and harmonious working environment.
  • Adheres to company policies and procedures.
    • Attends work as scheduled.
    • Follows hotel’s dress and grooming standards.
    • Minimizes safety hazards by following all safety rules and procedures.
  • At all times, projects a favorable image of Luxe Sunset Boulevard Hotel to the public.
Qualifications for Sales Coordinator:
  • Experience with analytics and online advertising, and proven success in the creation of marketing campaigns
  • Working knowledge of Microsoft Windows, Excel spreadsheets,  and preferred DELPHI FDC, Opera, ONQ SM, Consortia experience 
  • Demonstrated ability to assist senior management and sales representatives with any additional work as needed
  • Have a strong work ethic and are eager to learn and make new sales with customers, including add-on services and catering 
  • Be strongly skilled in organization, problem-solving, customer service, and multitasking while being committed to excellence
  • Must have strong communication skills 
  • Must be able to assist in all sales and marketing campaigns as needed, particularly through presentations and site inspections
  • Ability to work most weekends

  • Lifting/Carrying: Average weight 30lbs constantly
  • Standing/Walking: Constantly. Standing/walking the majority of scheduled shift
  • Kneeling/Crawling: Occasionally. Completing tasks throughout the hotel
