Job Description - Director of Operations

Position Summary:
We are looking for a Director of Operations to lead and scale the newly created department that will collaborate with the Finance and Human Resources department leads, to improve the business development function of the organization. The ideal candidate is passionate about driving operational excellence and supporting key initiatives across the company with a focus on delivering goals set by the Senior Leadership of Mission Graduates.

These goals include:
  • Ensuring all operations are carried in an appropriate, cost-effective, legally compliant way
  • Optimizing operational management systems, processes, and best practices
  • Collaborating with Site Leads to ensure these functions are implemented for the organization’s Main Office, College Connect Office, and Program Sites.
The Director of Operations will specifically support the organization in directing a group of functions that includes Operations, Office Services, Facilities, Information Technology, as well as Purchasing. The position reports to the Chief Executive Officer to define the department vision and desired outcomes for internally focused projects that drive innovation, improve organizational efficiencies, and ultimately program impact in service to our partners and stakeholders.

Primary Responsibilities:
Provide strategic leadership for the expansion, improvement, and management of a new Operations Department. This position will be a crucial liaison between Finance, HR, Development and Program. Additionally, this position will oversee a department budget, as well as work closely with Program Directors to understand their budgets/contracts. Finally, the role will identify opportunities to enhance the employee experience, optimize people processes and make informed decisions using a data-driven approach that covers the following areas:

Operations
  • Create, manage, and optimize necessary organization wide systems to streamline business operations.
  • Oversee the organization’s billing system to ensure accurate, timely, monthly reporting to Program Leads/Directors, in collaboration with Billing/Administrative Clerk.
  • Oversee Mission Graduates’ Information Technology needs and implementation plan, in collaboration with Database Manager. Serve as main point of contact for contracted IT vendor to lead, track and improve efficiencies.
  • Serve as organizational point of contact for Risk Management, ensuring health and safety protocols are understood and followed; as well as ensuring compliance with needed OSHA trainings for all staff and compliance with funders’ requirements for program.
  • Serve as organizational point of contact with Insurance provider (General and Worker’s Compensation).
  • Collaborate with Program Directors to ensure smooth operations at program sites

Offices and Facilities
  • Oversee facility issues for all Mission Graduates’ offices and program sites. This includes but is not limited to:
    • Negotiating and managing office leases for Main Office and College Connect Office Space
    • Completing Facilities Use Permits with SFUSD for Fall and Summer Programs
    • Maintaining and updating the organization’s health and safety protocols in partnership with local stakeholders.
  • Serve as primary point of contact when there are incidents related to equipment quality, stakeholder service, or accidents and mishaps on-site. This includes any issues on-site at program facilities, such as equipment breakage or participant injuries.
  • Oversee all inventory management for the Main Office, College Connect Office and Program Sites.

Purchasing/Vendors
  • Develop, track, and maintain contracts for services with organizational and program vendors. This includes but is not limited to:
    • Overseeing MOU’s for Extended Day Programs, College Access and Parent Partner Programs, ensuring all contracts remain legally compliant with funders’ requirements and reporting procedures.
    • Produce/track and manage needed Certificates of Insurance, W-9’s for vendors.
  • Manage relationships with key operations vendors.
  • Track vendor pricing, rebates, and service levels.
  • Leverage organizational purchasing power to identify additional partnerships and vendors.

Management
  • Serve as member of Mission Graduates’ general Leadership Team.
  • Supervise Operations team of Database Manager and Billing/Administrative Clerk
  • Develop, implement, and communicate operation processes and protocols

Skills and Qualifications
  • Bachelor’s degree in operations management, business administration, or related field
  • 2+ years’ proven experience in an operations management position
  • Strong budget development and oversight skills
  • Excellent ability to delegate responsibilities while maintaining organizational control of operations and stakeholder service
  • Highly trained in conflict management and business negotiation processes
  • Knowledge of general business software and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook)
  • Bilingual Spanish preferred
