Administrative Assistant position summary:
Our Company is seeking an Administrative Assistant to work directly with the project management team and handle necessary tasks to support their projects. We are looking for an individual who is efficient and comfortable being a member of a team and has the ability to handle multiple high priority tasks, but not lose focus on details. The ideal candidate for this job is resourceful, a good problem solver and organized. Position requires the ability to communicate well and effectively, verbally and in writing, with other members of the company.

Administrative Assistant Requirements:
  • Become proficient with the company’s management information system and project tracking
  • Manage the project clearance process for the entire company
  • Learn the project submittal process and provide support when necessary
  • Provide administrative support to the VP of Construction Operations
  • Provide support to the Safety Director when necessary
  • Assist the Labor Coordinator with new hire sign ups and periodic clerical needs
  • Use project share file site when applicable
  • Preparation and distribution of materials, taking minutes, and maintaining files 
  • Provide quality customer service and follow-up to customers as needed
  • Periodic receptionist duties when necessary
  • Contribute to the overall success of the company
  • Other duties as assigned

Administrative Assistant Technical skills & attributes required:
  • Minimum 2-3 years experience as an administrative assistant in a corporate office
  • Associates degree is preferred but not required. Must have High School diploma
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
  • Excellent communication skills and a proven ability to juggle multiple high priority tasks
  • Superior organizational skills and dedication to completing projects in a timely manner
  • Strong aptitude for quality and efficiency
  • Good writing and problem-solving skills
  • Willingness to collaborate with the team to accomplish the goals
  • Willingness to learn
  • Ability to work in a fast paced environment
  • Must be energetic, a self starter, and have a high sense of urgency

Authorization to work in the United States indefinitely without restriction or sponsorship

Position is full-time Monday - Friday
