Job Summary:
Coordinate and support the processing of subcontracts, certificates of insurance, and necessary documents for all projects. Work closely with the Contract Administrator to ensure all documents comply with corporate policies, procedures, requirements, and legal guidelines.

Job Summary:
Coordinate and support the processing of subcontracts, certificates of insurance, and necessary documents for all projects. Work closely with the Contract Administrator to ensure all documents comply with corporate policies, procedures, requirements, and legal guidelines.
Essential Functions:
- Become proficient with the company’s management information system and subcontract tracking.
- Assist the Contract Administrator with subcontract processing, ensuring it complies with Company and Client requirements.
- Request and review Certificate of Liability Insurance for all subcontractors based on insurance requirements.
- Maintain subcontract filing system. Follow-up with subcontractors for any outstanding documentation.
- Review, scan, and file any certificate of insurance received by mail.
- Submit any requests by subcontractors for changes to the terms and conditions/ language modifications to the Contract Administrator for further review and processing.
- Assist the Contract Administrator with the expiring certificate of insurance report by contacting subcontractors and insurance agents requesting renewal certificates prior to expiration.
- Provide administrative support to the Contract Administrator and VP of Business Development as needed.
- Other administrative duties as assigned.
Experience, technical skills & attributes required:
- Associates degree is preferred but not required. Must have High School diploma.
- Minimum 2-3 years’ experience as an administrative assistant.
- Detail Oriented with excellent organization, communication, and analytical skills.
- Advanced computer skills including Microsoft Word, Adobe PDF, Outlook and SharePoint.
- Excellent communication and interpersonal skills.
- Willingness to learn.
- Ability to multitask work in a fast-paced environment.
- Provide quality customer service and follow-up to customers as needed.
