Role Summary

Conference Service & Catering Manager is responsible for ensuring that Primland’s group business is successful from first impressions to follow up of programs, as well as looking after leisure or private event business. Group business refers to, but limited to the following: Social Groups, Weddings, Conferences, Incentives, Private Events. This role is key to the success of the growing group business at property. Position is located on site.

Core Responsibilities
Please note that this is not an exhaustive list of everything that needs to be done. Within the Auberge family, our people always find new ways to look after the business, their guests, and their teammates. Within this, the key responsibilities for this position are:

  • Responsible for managing all facets of in house group business. 

  • Act as a liaison between the customer and operations departments of the hotel to ensure a successful meeting / event for the clients and all of the client’s needs are met and communicated accurately and efficiently to all departments of the hotel. 

  • Through Delphi, maintain and distribute information for group requirements such as transfer, menu, event location and overall logistics to the operations team

  • Ensure rooming lists and other deadlines are met by client

  • Responsible for preparing and distributing banquet events orders (BEO’s) and Group Resumes.

  • Meeting lead for BEO / Resume, Pre Con and Post Con meetings

  • Phone / email Interaction with client in regards to program requirements

  • Create and print menu cards and buffet food table labels as needed
  • Coordinates necessary arrangements with vendors relating to events
  • Perform hotel site tours with potential clients when needed

Wedding & Private Event Responsibilities

  • Point of contact for weddings, and leisure private events. Qualify all incoming leads, via phone, email, and in person

  • Contract social events

  • Responsible for all Conference Service & Catering Responsibilities listed above

  • Lead for Site Inspections

  • Maintain and distribute information for private events to food & beverage team


Financial Responsibilities

  • Works with accounting/finance to ensure deposit and payment schedules are maintained and deposits are collected
  • Review SMS to ensure Posting Masters are set up according to the contact

  • Update Delphi pricing, item and contract forms

  • Update group pick up with Groups Rooms Coordinator

  • Generating reports such as group pick up reports, banquet and catering reports
     

Required Qualifications

  • Experience with Google Suites, SMS, Delphi, Microsoft Office and Delphi a plus

  • Ability to remain flexible with work assignments

  • Ability to work flexible hours, including some weekends if needed

  • Editing skills with impeccable attention to detail

  • Exceptional follow-through and attention to detail.

  • High School diploma or equivalent.

  • Must be “Team” focused.

  • Ability to work a flexible schedule as the demands of the season fluctuates and to provide the best coverage to teammates.

  • Ability to take on new responsibilities and roles as the position demands, whether they are administrative or operationally based.

  • Previous experience as a Conference Service, Catering, F&B Manager, a plus
     

Skills, Attitudes & Behavior
  • Exceptional ability to communicate clearly and with confidence with guests and team members at all levels including the ability to speak clearly, confidently, and thoughtfully to best represent the property.
  • Ability to multi-task and coordinate multiple projects at once. 

  • Ability to make smart decisions that support resort operations. 

  • Ability to professionally represent the resort, and interact with clients in a polished, responsible, and timely manner.

  • Ability to communicate information to operational departments accurately and in a timely manner.

  • Timeliness in responding to all sales-related inquiries. 
     

Physical Demands
  • Must have the ability to move/maneuver in an office environment as well as working outdoors when conducting tours of the property, noise level is moderate.
