Duties/Responsibilities:       The Executive Assistant is responsible for performing administrative/secretarial duties for the Chief Executive Officer, Board of Directors, Director of Clinical Services, and Director of Residential Services.  The Executive Assistant completes various administrative responsibilities under limited supervision, using initiative and judgment in tasks such as composing and editing letters, memos, and reports requiring knowledge of company policies, procedures, and practices.  Maintains calendars and scheduling of executives and groups.  The Executive Assistant will record, process and maintain accurate/timely meeting minutes.  Will prepare for managers’ and Board of Directors’ meetings; dinner/lunch arrangements; develop corporate resolutions; prepare letter and agenda draft for monthly Board mailing; and follow up on tabled agenda items.  Will maintain corporate Board meeting minutes; Board members and committee’s listings, Board of Directors orientation manual.  Will accurately and timely process monthly petty cash reconciliation; weekly timesheet entries for self; contract submissions and notarization; annual CMHC and AODE Office of Inspector General Licensure renewals. 
 
Experience Required:           Five or more years of experience in the administrative/secretarial field, preferably two or more years in the mental health or medical field, and excellent computer, verbal, and writing skills.  Must possess excellent ability to communicate with internal and external stakeholders.
