VistAbility is a non-profit agency serving Contra Costa County that exists to enhance and enrich the lives of children and adults with intellectual and developmental disabilities. We provide direct services and advocacy to assist those we serve in achieving their highest level of personal independence and self-sufficiency.

The Payroll Specialist is responsible for bi-monthly payroll for over 300 staff and over 250 participant employees. This position maintains all current payroll related data and is responsible for benefits enrollments/terminations and reconciliations, along with many related functions.

Essential Functions:
  • Responsible for accurate data entry of new hires, changes and terminations
  • Process Staff (300) and Consumer’s (250) payroll twice a month
  • Issue manual payroll checks for terminations, lost checks, or any special reason
  • Distribute semimonthly payroll reports to Directors
  • Liaison with UKG (Formerly Ultipro)
  • Maintain all payroll files
  • Audit and distribute W2’s at year end
  • Process benefit changes
  • Completion and coordination of EDD benefits, specifically SDI and PFL
  • Manage garnishments and wage withholding orders from FTB, IRS, County Sherriff etc.
  • Prepare earnings reports as requested
  • Assist management and staff with payroll related questions and resolve any problems
  • Perform additional tasks as requested by the Accounting Manager

Accounts Payable/Receivable:
  • Review and reconcile Medical, Dental, Life and LTD invoices. Continuously monitor all enrollments, deletions and changes in benefits coverage.

  • Liaison with vendors regarding any enrollments or eligibility questions or issues
  • Review monthly benefit enrollments and terminations
  • Review open enrollment new entries and changes
  • Process COBRA enrollment and terminations
  • Assist management and staff with questions regarding benefits
  • Track COBRA and LOA participants

  • Minimum of 2 years of recent payroll experience. The ideal candidate will have experience with high-volume (100+ employees) payroll processing using electronic systems, preferably UKG (formerly Ulti-Pro)
  • Basic Excel skills
  • Business Intelligence Report Writer preferred

Minimum Requirements:
  • Certified Payroll Professional certification a plus
  • California Driver's license and clean driving record
  • COVID-19 Vaccination - subject to religious/medical exemption requests

Hours: Monday through Friday: 8:30-4:30 pm, 37.5 paid hours per week

Location: Martinez

Compensation: $24 per hour plus great benefits!

Our vacation accrual rates are generous: 1st and 2nd year of employment = 2 weeks vacation a year; 3rd and 4th year of employment = 3 weeks vacation a year; 5th to 9th year of employment = 4 weeks vacation a year; the 10th year onward = 5 weeks vacation a year.
