Position Title: Technical Records Administrator

The position is responsible for the organization, maintenance, accuracy and safe-keeping of all company aircraft Technical Records

  • Process all flight logs and cabin logs ensuring accuracy within systems in a timely manner
  • Process and update all unscheduled work within systems including aircraft defects and cabin defects.
  • Process completed work packages, reconcile mail, completed logs and part changes.
  • Troubleshoot and rectify all discrepancies that may arise and coordinates with Technical Records Supervisor (TRS) or Manager of Maintenance Planning & Technical Records (MMPTR) to clear all discrepancies requiring action by other departments.
  • Record aircraft data such as oil uplifts & compass readings
  • Ensure records are maintained in accordance with Transport Canada Regulations (CARS)
  • Organized aircraft records for archiving and long term storage – including keeping an inventory record on Sky regional shared drive.
  • Assist in aircraft imports/exports, including aircraft  systems loading
  • Follow safety requirements and adhere to the company SMS
  • Conduct daily audits of Technical Logs, work orders, and related data for accuracy
  • Follow-up on errors or omissions for the associated corrective action to be taken. Verify Audit memos and corrections are completed
  • Audit component /assembly changes ensuring regulatory requirements are met. (Verify each component change cert -form one-and ensure it has all the required data). Audit reset of part requirements such as overhauls or various inspections.
  • Report anomalies to TRS and MMPTR for review
  • Review of monthly records prior to archiving
  • Assist other departments if they require flight or log information
  • Process component/assembly changes in a timely manner to assist planning in accurate forecasting and Stores in returning off units
  • Retrieve archived information when asked
  • Work together to keep records storage clean and organized
  • Work with planning to have parts verified if required
  • Prepare and maintain accurate aircraft status, MMPTR can then produce  accurate reporting to stakeholders
  • All problems will be vetted with TRA or MMPTR before detailing the issue with other departments
  • Other duties as assigned to support the operation.
  • High school graduation.  College level courses in aviation preferred or Equivalent Experience
  • Minimum (2-3) years’ experience in technical records in an aviation or FBO environment;
  • Understanding of company policies, manuals and applicable regulations
  • Knowledge of EMB Type aircraft an asset
  • Knowledge of aircraft terms and acronyms an asset
  • Demonstrates an understanding of safety issues and actively support the Safety Management Systems program as required by Transport Canada.
  • Effectively communicate in writing and in person with internal/external stakeholders
  • Work collaboratively with colleagues in Planning and Records, as well as stakeholders in other departments
  • Organize/prioritize workload and ensure efficient use of time to achieve all objectives within deadlines
  • Demonstrates investigative and problem solving skills
  • Excellent administrative skills
  • Achieve service level agreements with internal and/or external customers.
  • Excellent computer skills; MS  Office (Excel, Word, Outlook, Adobe, Netline, Trax
  • Ability to handle various tasks at once
  • Flexibility will be required
  • Self- motivated, excellent organizational skills
  • Ability to pass security clearance and obtain the Transport Canada Restricted Area Identity Card (RAIC)
