Position Title: Payroll Administrator & Analyst

This position is responsible for the administration of the company’s time and attendance and payroll systems. The Payroll Administrator is responsible for the timely and accurate delivery of payroll and related client service, including record keeping,  reporting and analysis

  • Process and reconcile the payroll on a semi-monthly basis
  • Assist with monthly audits of crew schedules versus actuals for payroll processing
  • Preparation and distribution of timely and accurate payroll reports
  • Maintaining Employee Files
  • Data entry for all time and attendance and personnel transactions such as new hire; termination, leave of absence, benefits deductions, garnishments, etc;
  • Prepare and maintain standard and ad hoc reports, queries, and conduct appropriate audits to ensure data integrity;
  • Prepare and maintain accurate records;
  • Document workflow and work procedures;
  • Responsible for the setup, maintenance and termination of all employee benefits including Medical & RRSP
  • Great West Life (Medical Benefits) reconciled and analyzed monthly against plan
  • Balance Sheet Reconciliations
  • Analyze crew data on a monthly basis accounting for the hour’s build-up of hard vs. soft hours split into detailed categories such as sick, vacation, training etc. compared to budgeted crew build up.  Provide outcome to key stakeholders
  • Meet with key stakeholders monthly to review data in a timely matter to ensure changes can be made in planning based on data outcome
  • Assist Finance Managers in analyzing monthly variances to actuals for payroll.
  • Crew Headcount reports reconciled between Actuals and Equipment List
  • Assist in preparing monthly forecast based on actual results and trends.

  • Degree, certificate or diploma in administration an asset.
  • Certified Payroll Compliance Practitioner/Certified Payroll Manager an asset.
  • A minimum of 3-5 years of experience with primary responsibility for payroll administration and processing;
  • Experience working with ADP;
  • Knowledge of payroll and accounting practices and principles;
  • Knowledge of state and federal employment laws relating to key areas of responsibility.
  • Ability to exercise tact and discretion in dealing with sensitive and confidential information;
  • Strong computer skills particularly in the use of MS Excel;
  • Detail oriented and ability to work to tight timelines;
  • Excellent organizational skills and the ability to multi-task;
  • Authorized to live and work in Canada and obtain a Transport Canada Restricted Area Pass.
