Administrative Assistant (Elementary School)

Accountability
The School Administrative Assistant is accountable to the:
  • Elementary School Principal
  • Elementary School Vice Principal
Jurisdiction
The School Administrative Assistant has, with the cooperation of the Faculty, Staff, and the Principals, jurisdiction over:
  • Any students at any time or any place within the school.
 Responsibilities:
The School Administrative Assistant will be responsible for:
  • Greeting and assisting students, parents, faculty, and staff
  • Answering phone calls and emails
  • Sending out and knowing/understanding content of schoolwide emails and weekly news/updates for the Friday Five
  • Adding items to the online calendar as requested
  • Preparing, distributing, receiving, and organizing paperwork
  • Organizing building use, assigning site supervisors for events, and assisting with event coordination
  • Preparing state/Archdiocesan reports with student and staff demographic information
  • Tracking attendance and making appropriate follow-up contacts. Help middle school in the absence of their administrative assistant
  • Assisting with dismissal duties
  • Admissions coordinator
  • Attending Elementary School special events and liturgies as requested
  • Become an expert on VCES program offerings and school applications such as PowerSchool.
  • Administer medication, first aid, and attend to sick students
  • Help run safety drills (Fire, lockout, lockdown)
  • Maintaining State Immunization records and reporting to State of Oregon
  • Creating yearly contracts for elementary school teachers
  • Point person for Power School; including report cards, teacher grade books, yearly start of year and end of year procedures
  • Making sure upstairs workroom is stocked and organized
  • Ordering and distributing yearly classroom supplies and textbooks
  • Other duties as assigned
Qualifications
The School Administrative Assistant will:
  • be willing to take direction from the Principal and Vice Principal.
  • have a reasonable expectation and understanding of what it’s like to work with elementary school and middle school aged children.
  • be capable of working in a high activity environment with frequent interruptions.
  • be self-directed, with the ability to multi-task and still stay focused.
  • maintain confidentiality about staff, students, and families.
  • maintain a consistent record of attendance and punctuality.
  • be able to lift and carry 35+ lbs. of school/office supplies, books, etc.
  • be able to walk up and down numerous flights of stairs on a daily basis.
  • be proficient with Microsoft Windows, Excel, Word, PowerSchool, ADP, Google Drive, and the Internet.
  • must be able to type a minimum of 45 words per minute.
  • demonstrate positive interpersonal relations.
  • be supportive of Catholic Christian education and serve as a positive Christian role model for the students and staff of Valley Catholic School.
EDUCATION
  • High school diploma or GED.
  • Two (2) years of college preferred.
EXPERIENCE
A minimum of four (4) years of secretarial experience within a school setting.
