Community Clinic of Maui, Inc. dba Malama I Ke Ola Health Center is a Federally Qualified Health Center (FQHC) and a fully integrated behavioral health, dental, and primary care system. Our 100+ professionals and providers serve the people of Maui at three clinics—two locations in Wailuku and one in Lahaina. We have behavioral health providers who partner with the primary care clinicians to assist in a vast number of activities including warm handoffs for acute behavioral health crisis management, substance abuse counseling, tobacco cessation counseling, chronic disease self management counseling, and long-term individual and family therapy.  PRIMARY FUNCTION: Maintains and organizes patient medical records in order to keep track of important clinical information, and updates patient medical information.  Participates in multi-disciplinary primary care team to support the patient care process and facilitate the patient experience.

Essential Functions:
  1. Ensures that the privacy of all patient medical information in accordance to HIPAA regulations and company policies and procedures.
  2. Prepares and updates patient’s charts for current and future appointments.
  3. Processes “obtain and release of records” in an efficient/accurate timely manner.
  4. Scans and imports patient’s medical documents accurately.
  5. Provides assistance to auditors as required.
  6. Creates, generates, and analyzes reports as requested.
  7. Facilitates resolution to patient complaints as needed.
  8. Assists with inputting data into the Electronic Medical Record, Practice Management System, i2iTracks or other data reporting system.
  9. Collaborates with and supports team members to meet collective goals and objectives.
  10. Applies Trauma-Informed approach to all people.
  11. Shreds or ensures proper disposal of patient medical records as appropriate.
OTHER DUTIES
  1. Attends additional training sessions to improve deficiencies and enhance knowledge/skills.
  2. Performs other duties and functions which facilitate interdisciplinary team process and are consistent with demonstrated competencies.
  3. Attends and participates in all-staff, departmental and targeted meetings consistently.
QUALIFICATIONS

Education
  • High School Diploma or GED.
  • Certification as Medical Assistant, CNA, or other healthcare education preferred.
  • Associates Degree in Business Technology, specializing in Medical Office Assistant preferred.
Experience
  • Six-Months’ experience in a healthcare setting, including HIPAA compliance, preferred.
  • Familiarity with medical terminology and pharmacology preferred.
  • Experience and familiarity with our diverse population.
Skills/Competencies:
  • Demonstrate accurate typing of a minimum of 35wpm.
  • Knowledge of use of various office equipment, i.e. copier, fax machine, scanning, etc.
  • Skill in maintaining records.
  • Ability to maintain quality control standards.
  • Ability to work with bilingual and bicultural people. 
  • Cultural sensitivity to a diverse group of people.
  • Must have the ability and skills to work closely with administration, co-workers, and practitioners in an effective, cooperative and harmonious manner.
  • Ability to read, write, and understand in the English language and respond in detailed oral and written instructions.
  • Ability to communicate clearly, verbally and in writing, with patients, co-workers, community partners, and the public.
  • Knowledge of common safety hazards and precautions to maintain a safe work environment.
  • Ability to react calmly and effectively in emergency situations as needed.
  • Demonstrate computer literacy in database, Microsoft Office; and EMR.
  • Provide excellent customer services to our patients in words and actions that demonstrate our mission, vision, and core values.
  • Willingness to assist co-workers.
Other requirements:
  • TB Clearance within the past 12 months
  • Fully vaccinated against COVID-19 or approved reasonable accommodation for medical or religious exemption.
