PRIMARY FUNCTION for Medical Office Assistant:
This position supports the care teams as assigned to Adult Medicine to perform patient scheduling, re-scheduling and follow-up appointments, patient referrals, gathering of information, incoming/outgoing phone calls, and daily prescription refill line coordination.
Our hours of operation are Monday through Thursday, 8 a.m. to 7:00 p.m., Friday 8:00 a.m. to 5 p.m. with one hour for lunch weekdays, and on Saturday from 8:30 a.m. to 12:30 p.m. at our Ooka Health Center. This position will be scheduled for 8-hour shifts during hours of operation and 40 hours per week.

Education:
High School Diploma or equivalent.
Experience:

Skills/Competencies:
Excellent verbal and written communication skills.
Computer literate and accurate in data base and Microsoft Office; will be trained to use our EMR.
Certifications:
Valid driver’s license.
Access to an insured vehicle.
TB clearance within the previous 12 months.
BLS CPR certificate.

- Greet each patient and visitor courteously and respectfully.
- Obtain assistance for patients and visitors needing special help.
- Answers phone calls promptly and courteously follow all protocols set up with transferring calls to a care team member.
- Schedules patients for their follow-up appointment
- Based on the provider’s referral to a specialist, imagery, and/or lab services, processes and follows referrals directly or to internal referral specialist per protocol.
- Sorts and distributes received FAX to appropriate provider.
- Performs outreach to patients for no-shows and per specific quality metrics.
- Consistently demonstrates a positive attitude. Fosters teamwork by offering assistance to others.
- Utilizes a trauma-informed approach to acknowledge and respond to requests.
- Shows consideration in interaction with patients, family, and other healthcare team members by demonstrating listening skills and cooperation.
- Adheres to and promotes the established values of the organization, i.e., customer service, safety, innovation, continuity, and consistency.
- Checks the refill line daily and follows through with care team members same day or within one business day; may include follow-up phone calls.
- Uses electronic medical records database continually.
- Maintains documentation on paper and digitally that is organized and consistent with department protocols
- Other duties, as assigned.
