The Procurement Administrator is responsible for providing assistance to the Project Procurement Manager in execution of procurement strategy on projects. This role assists with tasks to ensure the project has the appropriate equipment and materials to support delivering projects to the highest standards.

The Procurement Administrator is responsible for providing assistance to the Project Procurement Manager in execution of procurement strategy on projects. This role assists with tasks to ensure the project has the appropriate equipment and materials to support delivering projects to the highest standards.
KEY RESPONSIBILITIES
- Assists Procurement Managers and Procurement Specialists with procurement tasks for EPC projects, including but not limited to preparation and issuance of RFP’s, bid tabulations, and documentation required for purchase order (PO) issuance.
- Responsible for entering POs in the corporate ERP system in a timely manner to support our projects.
- Support supplier onboarding, qualification, and performance tracking in accordance with company and project-specific requirements.
- Managing the invoice receipt process, with validation of received invoices, reviewing invoice documentation for accuracy and working with project teams to ensure receipt of materials and/or deliverables to support the approval of invoices.
- Liaise with expediting and material managers to ensure accuracy of receipt documentation to support the invoice approval process.
- Working closely with Accounts Payable and vendors on various issues related to POs and invoices.
- Track procurement activities in the ERP system (e.g., SAP, Oracle) and maintain accurate documentation including PO status reports, vendor correspondence, and contract files.
- Perform contract close out activities as required, and update in the contract files and ERP system.
- Plan and participate in RFP strategy development and contract kickoff meetings.
- Develop and maintain collaborative working relationships with suppliers as well as internal and external clients.
- Maintain policies, procedures, and systems according to company practices.

POSITION REQUIREMENTS
Qualifications
- High school diploma/GED and/or equivalent experience.
- Bachelor’s degree in Business, Accounting, Supply Chain, or Engineering preferred.
- 1-2 years of experience in procurement or supply chain coordination, ideally within an EPC, infrastructure, or construction environment.
- Familiarity with procurement processes in engineering and construction projects, including materials and equipment for power, water, oil & gas, or renewable energy sectors.
- Proficiency with ERP/procurement systems (e.g., SAP, Oracle, Ariba) and MS Office Suite.
- Proficient in commercial terms and conditions, logistics, freight, and tax implications
- Ability to multitask across different projects and proposals.
- Attention to detail, and ability to gather information from a variety of sources and assemble together into a professional document
- Willing to learn technical aspects of solar facilities, substation, and battery storage equipment.
- Willingness to travel to project sites as needed
