ROLE
WHC LLC (A Surerus Murphy Company) (WHC), is seeking to recruit a DOT Transportation Compliance Coordinator. The DOT Transportation Compliance Coordinator provides advisory oversight and supportive guidance to ensure WHC maintains compliance with U.S. Department of Transportation (DOT) and Federal Motor Carrier Safety Administration (FMCSA) regulations under 49 CFR Parts 40, 382, 383, 385, 387, and 390–396.

In this role, the coordinator assists project teams, supervisors, and drivers by educating, advising, and monitoring key compliance elements, including Driver Qualification (DQ) files, Hours of Service (HOS), vehicle maintenance documentation, and overall safety performance indicators.

This position supports the business through expertise, coaching, and continuous improvement, helping ensure WHC’s safety and compliance practices remain strong, well-understood, and audit-ready. The focus is on proactive guidance to maintain a positive carrier profile and minimize regulatory and operational risk.


KEY RESPONSIBILITIES
Driver Compliance and Qualification
  • Maintain and audit DQ files in accordance with 49 CFR §391.51, ensuring all required documentation (e.g., MVRs, medical certificates, employment verifications, training records) is current and complete.
  • Track annual driver MVRs, medical renewals, and certifications; initiate timely renewals to prevent lapses.
  • Support onboarding and termination workflows to ensure driver eligibility aligns with company policy and DOT standards.
  • Conduct Driver Evaluations and assist with driver onboarding.

Hours of Service and ELD Compliance
  • Monitor ELD data for HOS compliance in accordance with 49 CFR Part 395; identify and correct log violations and unassigned drive time.
  • Provide weekly reporting to management on HOS trends, violations, and corrective actions.
  • Support driver education and retraining initiatives related to ELD use and log accuracy.

Vehicle and Maintenance Oversight
  • Verify compliance with 49 CFR Part 396 by ensuring all required inspections, repairs, and maintenance records are retained and completed.
  • Track annual DOT inspections, registrations, and insurance certificates.
  • Support scheduling of preventive maintenance and coordinate with the Equipment group to address vehicle out-of-service findings.

Safety, Auditing, and Reporting
  • Conduct internal compliance audits and assist in DOT, FMCSA, or state roadside inspection reviews.
  • Compile reports for CSA BASICs (Unsafe Driving, Hours of Service, Vehicle Maintenance, etc.) and monitor carrier safety scores.
  • Investigate violations or inspection findings, document corrective and preventive actions.
  • Assist in drug and alcohol testing program administration per 49 CFR Part 40 and Part 382.

Administrative and Program Support
  • Maintain accurate compliance databases and documentation within company systems (e.g., Geotab, NECS, or similar).
  • Support policy implementation, driver bulletins, and safety communications.
  • Coordinate with field operations, HR, and Fleet Maintenance to promote a strong compliance culture.

Note: In addition to these duties personnel are required to carry out such other duties as may be reasonably required in order to support the objectives of the company.

POSITION REQUIREMENTS
Qualifications
  • High school diploma/GED and/or equivalent experience.
  • Post-secondary education in Business Administration, Transportation, Logistics, or Safety Management preferred.
  • Defensive Driving Instructor or Transportation Safety Training certification is an asset.

Experience
  • Minimum of 2 – 3 years of experience in DOT or transportation compliance, FMCSA, or fleet compliance, safety, transportation administration, or fleet administration.
  • Former DOT Inspector, Enforcement Officer, or Compliance Investigator experience is strongly preferred.
  • Experience working with commercial vehicle fleets, driver qualification (DQ) files, or Hours of Service (HOS) programs.
  • Experience with ELD systems (Geotab, Samsara, Omnitracs, or equivalent) and DQ file management systems preferred.
  • Experience with compliance management software (e.g., Tenstreet, NECS, or similar) is an asset.

Skills and Knowledge
  • Strong working knowledge of FMCSA regulations (49 CFR Parts 40, 382, 383, 390–396) and the FMCSA Compliance, Safety, Accountability (CSA) program.
  • Ability to interpret and apply DOT/FMCSA regulations to real-world operations.
  • Knowledge of vehicle classifications, CDL requirements, and driver onboarding practices.
  • Exceptional attention to detail and record keeping accuracy.
  • Proficient in Microsoft Office Suite (Excel, Outlook, SharePoint) and compliance software platforms.
  • Strong communication, coordination, and problem-solving skills.
  • High degree of integrity and commitment to safety and compliance excellence.

WORKING CONDITIONS
This position is based at our Broussard, LA office. Travel of up to 70% is required for driver audits, project onboarding, inspections, and training sessions.

The DOT Transportation Compliance Coordinator reports to Manager, Transportation, Safety, & Compliance.
