Position Purpose
The Maintenance Estimator is responsible for identifying appropriate time requirements and labor/material costs for work orders by studying proposals, specifications, and related documents.

Job Responsibilities
  • Responsible for validating estimates and submitted price evaluations above client NTE.
  • Research warranties in internal maintenance and construction portals (HBAM and HBMM) for prior work completed on a property.
  • Utilize maintenance knowledge of pricing standards for labor hours and materials.
  • Review initial photos to determine scope of work needed.
  • Validates solution approach for a given work order.
  • Confirm the scope of the repair is in line with the description of the issue.
  • Ensure that all repair options have been exhausted before approving a new installation or replacement of an item.
  • Negotiate pricing with vendors based on knowledge of industry standards.
  • Prepares estimating sheet/guidelines for Maintenance Coordinators and Vendor.
  • Educate Maintenance Coordinators on pricing and labor standards for various maintenance industries.
  • Create and maintain vendor estimating process and technology.
  • Prepare pricing matrix for regional usage.
  • Detect patterns of recurring work orders and propose solutions to prevent common problems.
  • Requests re-submission of estimate by Maintenance Coordinator if needed; submit estimate to Client after validation.
  • Knowledge to reject improper bids due to pricing, description of work, or photo.
  • Communicate with clients and articulate reasoning behind estimate approvals or rejections.
Job Requirements 
  • 3+ years of experience in the maintenance, home insurance, or estimating industry
  • Must have strong estimating skills as this will be your main priority
  • Ability to multi-task, which requires strong organizational skills, attention to detail and quality
  • Knowledge of maintenance practices and labor costs in maintenance, plus a good knowledge of the uses and costs of materials
  • Thorough knowledge of residential construction with a good understanding of mechanical, electrical, and plumbing
  • Ability to represent the company to residents, vendors and team in a courteous and professional manner
  • Uses analytical and critical thinking for incoming inquiries to identify root causes of issues and make recommendations for resolution
  • Excellent verbal and written communication skills
  • Experience responding to customer emails
  • Strong problem-solving skills and data analysis abilities
  • Adaptable to feedback and requested changes
  • Strong customer service skills
  • Honest, ethical and handles things in confidential manner
  • Proficient with MS Office, Outlook and Internet applications
  • Experience utilizing Xactimate or RSMeans software
