POSITION SUMMARY
The Wisconsin State Fair Park (WSFP) is seeking an enthusiastic, detail-oriented, and dedicated candidate to work as an Organizational Development Coordinator. The ideal candidate will have at least two years of work in an administrative capacity or setting. The incumbent’s duties will focus on the maintenance of files and answering general employee inquiries via phone, email, and in-person. This position reports to the Chief Organizational Development Officer and supports the Human Resources and Organizational Development departmental areas.
EMPLOYMENT TYPE
This position is an unclassified, Dual-Limited Term Employment (LTE) position within the State of Wisconsin employment system. Annual hours worked will not exceed 2,078. More than 40 hours per week may be required leading up to and during the annual Wisconsin State Fair.
COMPENSATION & BENEFITS
The starting wage for this role will be $22 to $24 per hour, based on qualifications. A comprehensive fringe benefits package, including a pension, health and dental insurance, life insurance, and disability insurance is available after a minimum employment period is met. Paid time off for vacation, holidays, etc. is not included as part of the benefits package per State of Wisconsin Legislature, s. 230.26(4), Wis. Stats.

ESSENTIAL FUNCTIONS
- Provide administrative support to WSFP’s Organizational Development/Human Resources (HR) Department
- Serve as the department’s point of contact, responding to general personnel-related inquiries via email, phone, and in-person while managing the HR main phone line and shared email inbox
- Create, maintain, and update employee personnel records
- Maintain confidentiality of sensitive information related to personnel and employment issues and/or concerns
- Audit employment files and other personnel related documents, along with taking corrective action to restore compliance where needed
- Write employment-related letters
- Assist with basic data entry/maintenance of personnel information in WSFP’s HRIS system
- Assist in WSFP’s recruitment and hiring tasks, including the processing of criminal background checks, send onboarding documents, follow-up with candidates as necessary and
- Communicate with candidates and schedule interviews
- Assist with all staff communications and employee messaging platforms
- Assist coordination of the seasonal hiring center and support where necessary
- Coordinate and support the annual job fair
- Update and post jobs on the employment page of the WSFP website as well as external job boards
- Maintain WSFP’s applicant tracking system
- Compile materials related to open records requests
- All other duties as assigned
QUALIFICATIONS
- Experience working in an administrative capacity, required
- Experience using computers and Microsoft software such as Word, Excel, PowerPoint, and Outlook in a professional setting, required
- Basic knowledge of human resources functions, preferred
- Ability to establish and maintain effective working relationships with managers, supervisors, staff, other agencies, and external contacts
- Effective problem-solving and analytical skills
- Strong attention to detail
- Effective planning and organization skills with ability to prioritize while remaining flexible to changes
- Demonstrated ability to maintain strict confidentiality when handling sensitive employee information, including personnel records, compensation data, disciplinary actions, and investigations
- Skilled in maintaining secure documentation, HRIS records, and confidential reporting processes
