JOB SUMMARY
The Receptionist will serve Argo visitors and Argo staff by greeting, welcoming, assisting and directing them appropriately.  Under general supervision, will provide administrative support to executive assistant and senior leaders. They will have interactions with customers and will need to ensure superior customer service skills are provided.

TIME ALLOCATION
  • Reception Desk – 75%
  • Administrative Support – 15%
  • Facility Support – 10%

EXPECTED WORK AND PERFORMANCE (ESSENTIAL FUNCTIONS)
Job duties and responsibilities include the following.  Additional responsibilities may be assigned as needed.

Reception Desk
  • Operates main company switchboard, answering/routing calls, and operating paging system.
  • Demonstrates guest relations best practices when answering telephone and in-person inquiries or providing information to visitors and staff.
  • Secures (locks/unlocks) main entry doors.
  • Signs for and safe keep incoming and outgoing delivery and mail items.
  • Receives and delivers messages to appropriate parties to include mail, phone calls, emails, faxes, deliveries, etc.
  • Orders catering for internal meetings, coordinates drop-off and pick-up of catered items.
  • Represents Argo with a professional corporate image.

Administrative Support
  • Assists senior management in various projects and administrative duties upon request.
  • Takes notes and minutes in meetings and aids in document updates upon request.
  • Provides relief, assistance, and support to Argo staff as needed.
  • Participates as member of the corporate Emergency Response Team to include responding to 911 calls and other related activities and training.
  • Assists in employee recognition programs including ordering gifts, helping prepare gifts/awards, and maintaining inventory.

Facility Support
  • Maintains safe and clean reception and work areas by complying with procedures, rules, and regulations.
  • Maintains presentation and conference room cleanliness, providing beverages for customers and internal meetings as needed.
  • Provides back-up support to Facilities with general cleaning of common areas upon request.

QUALIFICATIONS
  • A High School Diploma, required
  • 3+ years relevant experience in a receptionist, executive assistant, or similar position
  • 2+ years of experience or proficiency in Microsoft products (Word, Excel, PowerPoint, Outlook), required.
  • 3+ years of experience handling information as appropriate including knowing and responding appropriately to confidential information.
  • Previous experience using a switchboard/company phone system.
  • Proven experience with effective and efficient use of:
    • Intermediate-level computer skills
    • Ability to schedule appointments.
    • Executing accurate ordering of needed items (food, supplies, etc.)
    • Maintaining professional corporate image and maintenance in assigned areas (i.e., customer/presentation rooms, etc.)

  • Ability to work in a team environment and effectively communicate at all levels within the organization.
  • Excellent written and verbal communication skills:

    • Ability to communicate with employees at all levels and external customers/vendors in a concise, clear manner with the right perspective (knowing how, what, and when to communicate) 
    • Ability to communicate articulately both in person and on the phone.
    • Ability to respond and process requests accordingly via phone and face to face from external parties (customers, vendors, and other parties) who call/come into ARGO.
  • Demonstrates solid analysis and reporting capabilities.
  • Strong attention to detail and problem-solving skills
  • Strong organizational skills with the ability to manage multiple priorities and respond with professionalism in all situations.
  • Must be able to work well under pressure while meeting deadlines.
  • Proven experience working in a corporate environment as the first point of contact.

PREFERRED SKILLS/EXPERIENCE/KNOWLEDGE
  • Bachelor’s degree

This role is critical to the Customer and People in ARGO’s Value Chain CRP3 (Customer, Revenue, People, Product, and Process) by providing customer service and support to our employees, customers and prospects in a helpful and professional manner.

ATTENDANCE/WORK LOCATION
The position is based in our Richardson, TX office. Daily physical presence in the office is required.  The standard work hours for this position are Monday to Friday, from 7:45 AM to 12:15 PM. 

PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to stand, walk; sit stationary; constantly operate computer keyboarding and office equipment, talk or hear, to communicate with employees, and/ or customers (must be able to exchange accurate information in various situations).  The employee is required to regularly communicate with other employees, confer or coordinate with other employees.  The employee is required to evaluate, edit, revise, update, and provide solutions to critical data development and solutions.
