GENERAL STATEMENT OF DUTIES:
The Parish Secretary serves the mission of the Roman Catholic church by providing faithful, professional, and confidential support to the Pastor, parish staff, and parishioners. This ministry contributes to the smooth operation of the parish office and fosters a welcoming, Christ-centered environment for all who seek the Lord through the Church. The Parish Secretary works closely with the Pastor, Deacon, and Business Manager.

RESPONSIBILITIES:
-Greet and assist parishioners, visitors, and callers with courtesy and compassion.
-Maintain parish calendars, schedules, and appointments for the Pastor and staff.
-Update calendar on parish website with current events and announcements.
-Ensure timely and accurate communication of parish events and schedules.
-Prepare parish bulletins and other correspondence.
-Maintain parish membership records and sacramental registers.
-Schedule and record Mass intentions/priest coverage, giving a monthly report to the Business Manager for payment purposes.
-Schedule use and complete paperwork for rental of parish facilities.
-Assist with basic bookkeeping and maintain accurate donation records.
-Prepare and distribute contribution statements to parishioners/donors.
-Order office and liturgical supplies as needed, with approval from Pastor/Business Manager.
-Manages parish reports for the Annual Bishops Appeal (ABA) and for any special offertory programs.
-Maintain organized and secure filing systems for both financial and confidential documents.
-Serve as a contact between pastor, parish staff, ministries, and the diocesan offices.
-Assist with preparation of sacramental certificates and special event materials.
-Help coordinate parish events, meetings, and sacramental preparation activities.
-Any additional responsibilities at the discretion of the Pastor.

-Maintain strict confidentiality regarding parishioner and parish information.

-Represent the Roman Catholic Church and her teachings with discretion and charity.

QUALIFICATIONS:
-Proficiency in the use of the English language in speech and writing. Proficiency in the use of the Spanish language in speech and writing is positive, but not required.
-Preferred typing speed of at least 50 words per minute.
-Familiarity with various computer/online applications including but not limited to Google Workspace, Microsoft Office, ParishSoft, and Canva.
-Willingness to learn and accept constructive criticism.
-Ability to work independently to organize and arrange priorities.
-Ability to schedule and produce work in a timely manner.
-High level of discretion and integrity.
-Knowledge of the Catholic Faith and be a practicing/participating Catholic in good standing with the Church.
-Responsibility for continued personal, spiritual, and professional growth. 
-Ability to work cooperatively and communicate effectively in a diverse community environment.
-Ability to work closely with the Pastor, including taking direction when provided.
