Main School Office / Nurse Office Administrative Assistant

Reporting to the School Principal, the Main Office/ Nurse Office Administrative Assistant supports the daily operations of our Catholic elementary school and plays a vital role in fostering communication, organization, and service in alignment with our school’s mission. The Administrative Assistant collaborates closely with students, families, faculty, staff, administration, and parish staff to create an efficient and welcoming environment that reflects our commitment to faith, learning, and community.

Responsibilities

Main Office Management:

  • Serve as the first point of contact for all office inquiries, ensuring a warm and professional atmosphere for visitors, staff, and families.

  • Maintain accurate filing systems and manage administrative records, including staff, student and family documents.

  • Provide logistical and organizational support for school events and activities.

  • Uphold and contribute to a collaborative and positive workplace that supports the school’s mission.

  • Model and encourage behaviors that reflect Catholic values and principles.

  • Work collaboratively with teachers and staff to support classroom and student needs, including assisting with communication and coordination.

  • Collaborate with staff members to address staff and student needs effectively.

  • Coordinate and contribute to school-parish communications and publications to ensure alignment and strengthen community ties.

  • Home-School Communication: Facilitate clear and effective communication with families, including preparing newsletters, communication apps and website and social media updates, and correspondence in both English and Spanish.

  • Ensure timely delivery of communications and respond to inquiries with professionalism and care.

Nurse’s Office Assistance:

  • Assist with the day-to-day operations of the nurse’s office by addressing students’ health-related needs with care and professionalism.

  • Coordinate basic care for students, such as distributing medications, offering first aid, and monitoring minor injuries or illnesses.

  • Maintain and update student health records in compliance with school and state guidelines.

  • Serve as a supportive presence for students requiring assistance during the school day.

Skills and Qualifications:

  • Strong communication and interpersonal skills, with a focus on customer service best practices and mindfulness of confidentiality.

  • Exceptional organizational and multitasking abilities.

  • Attention to detail and a proactive approach to problem-solving.

  • Familiarity with office software (e.g., Microsoft Office, Google Workspace, Canva), website and social media platforms, and the ability to learn new systems.

  • Commitment to the Catholic mission of the school and its role in transforming students in heart and mind.

  • Prior experience in an educational or administrative setting is a plus.

  • Proficiency in English and Spanish (spoken and written) highly preferred to support a diverse school community.
