PRIMARY FUNCTION
The primary function of the Physician Clinic Clerk is to register patients for appointments, while making sure that all the correct information is gathered in advance to ensure payment of claim.  This includes collecting co-pays and co-insurance, verifying patient information is updated, scanning insurance cards, identification and updated forms into CPSI and that insurance has been verified before patient sees physician. The Physician Services Registration Clerk must always present themselves in a professional manner.
RESPONSIBILITIES AND ACCOUNTABILITIES:
  • Opening/closing clinic
  • Ensure patient waiting area is always straight
  • Verify current schedule for added patients 
  • Greet patients in a professional manner
  • Answer telephone calls in a courteous manner/assist caller or transfer/send message in CPSI
  • Register patients for physician visits/labs in a timely manner
  • Collect co-pays, co-insurance and any past due balances at time of service
  • Scan all patient insurance cards and identification to CPSI
  • Obtain and input updated demographic/consent forms and scan to CPSI
  • File records in appropriate sections of patient electronic charts and keep patient charts in proper order
  • Schedule follow up appointments
  • Sort faxes throughout the day and place them in appropriate bins
  • Fax medical records request to Med-South and scan to patient chart in CPSI
  • Make sure copier/fax machine always has paper     
  • Check email and messages in Thrive throughout the day
  • Ensure all no-show appointments before lunch and end of day are logged
  • Reminder calls
  • Insurance Verification
  • Assist with prior authorizations
  • Verify incoming referrals are complete and accurate
  • Assists patient with prescription pick ups
  • Order office supplies
  • Balance cash drawer to receipts lists daily
  • Prepare deposit
  • This position includes a Friday rotation in Suite B
  • Other clerical/billing staff may assist with any of the above duties when required and assigned by the Physician’s Services Clerical Coordinator or the Physician’s Services Director
  • Perform all other duties as assigned by manager and/or supervisor
EDUCATION/QUALIFICATIONS/EXPERIENCE
  • High school diploma or GED
  • Minimum of two years registration experience in a medical office, including experience with insurance verification and patient collections
