Assistant Director of Advancement Services
The Assistant Director of Advancement Services is responsible for the accurate maintenance of donor and prospect data, ensuring the integrity and reliability of information within the advancement database. This role identifies, researches, and analyzes prospects for annual and major gift cultivation and solicitation, and leverages data to inform philanthropic strategy and enhance stewardship efforts. The Assistant Director leads the planning and coordination of the annual Gala fundraiser and leads or assists with other Advancement-related events. The Assistant Director supports and strengthens the mission of Saint Joseph High School to transform students in heart and mind, preparing them to serve God, the Church, and the world.
Responsibilities:
Database Services
- Manage the delivery of weekly giving reports, the yearly stewardship report, and all other fundraising-reports for publications or committee/team meetings.
- Prioritize and produce lists for appeals, communications, events.
- Ensure ongoing documentation of Advancement Services procedures, including gift entry, constituent data entry, and data moves management.
- Coordinate the gift acknowledgement process (collection, recording, reporting, etc), ensuring accurate data collection and timely recognition of gifts. Prepare and send IRS tax letters.
- Manage constituent records; ensure accuracy and consistency of the database. This ongoing data management includes: adding new student and parent records; transitioning graduates to alumni; current parents to alumni parents; address verification; managing links between records.
- Partner in the creation and production of an Annual Report of Philanthropy.
Prospect Research
- Conduct comprehensive research on current and prospective donors to identify their philanthropic interests, capacity, and connection to Saint Joseph High School.
- Create timely donor profiles for potential volunteer and philanthropic engagement.
- Collaborate with the Director of Annual Giving and the Director of Mission Advancement to develop strategic cultivation plans based on research findings.
- Utilize data analytics tools and other resources to assess and track donor giving, capacity, patterns, and trends.
Stewardship
- Manage current student engagement in writing thank you letters and donor thank-a-thons.
- Assist in the development and execution of stewardship programs and initiatives for parents, donors, and alumni.
Event Planning
- Coordinate all aspects of the annual Gala and coordinate or assist with other advancement related events.
Other
- Maintain up-to-date knowledge of industry best practices.
- Other duties or events as assigned by the Principal or the Director of Mission Advancement.

The successful candidate will have exceptional organizational skills; possess superior attention to detail and ability to follow-through; be team-oriented and mission driven; proficiency in data management systems and computer applications; be able to work independently and as part of a team; willingness to work occasional mornings, evenings, or weekends as needed; ability to maintain confidentiality and handle sensitive matters with discretion; demonstrated analytical and strategic thinking capabilities.
Requirements:
- Bachelor’s degree required;
- Experience working with databases and analyzing queries required; Experience with event planning preferred.
- Previous fundraising/donor relations/prospect research experience preferred;
- Experience working in a Catholic, non-profit, and/or educational setting preferred.
Organizational Structure:
The Assistant Director of Advancement Services reports to the Director of Mission Advancement and works closely with the Director of Annual Giving and Constituent Relations, the Director of Marketing and Communications, the Alumni Coordinator, the Director of Enrollment and the Principal.
