The Main Office Administrative Assistant helps build a positive school environment by aiding the Assistant Principal for Academics, assisting guests and employees, and supporting the mission of Saint Joseph High School in order to transform students in heart and mind, preparing them to serve God, the Church, and the world.
Responsibilities
Performs daily and routine office tasks:
  • Follows all school safety protocol, particularly screening visitors using the Raptor System, and managing the check-in/out procedure for visitors.
  • Serves as receptionist, who pleasantly answers the main school telephone and greets guests with a welcoming spirit.
  • Directs visitors who enter the Main Office, and ensures that they are appropriately accompanied.
  • Operates the school’s main telephone system and assists the faculty/staff in setting up voicemail.
  • Sorts and delivers school mail and readies end-of-the-day mail for pick-up.
  • Types, files, and carries out general office duties for the Assistant Principal for Academics and additional administration.
  • Reserves rooms on the SJHS campus and checks availability for employee needs.
  • Collects book fines during summer months working with the Bookstore Manager.
  • Begins student withdrawal process and verifies departmental obligations.
  • Handles and distributes faxes, along with the Administrative Assistant to the Principal.
  • Completes copies for the faculty, staff, and administration.
Provides assistance to the Assistant Principal for Academics for various tasks including:
Substitute teachers
  • Processes new substitute paperwork and submits to the appropriate office.
  • Assists in securing substitute teachers.
  • Keeps substitute records, including payroll, and submits to the Business Office.
  • Produces substitute teacher information folder.
  • Records teacher absences and submits the final report to the Business Office.
Honors Assembly
  • Prepares Honors Award list.
  • Orders Honors Awards.
  • Prepares program for Honors Assembly.
Performs other duties as assigned by the Principal and Assistant Principals:
  • Receives nominations and orders plaques for the Saint Joseph Community Award.
  • Contacts and informs parent(s) of all Community Award winners for monthly All-School Masses.
  • Coordinates the Christmas Luncheon and the End of the Year Appreciation Dinner
  • Schedules the Fall Parent/Teacher Conferences.
  • Assists with parent phone calls during Registration period. • Assists other offices as necessary
Reports directly to the Assistant Principal for Academics and the Principal.
